About the role: The Yacht Event Specialist will play a key role in assisting sales department to capture future events/ charters. As well as:
Coordinates all requirements for various conference/event groups booked by the Sales Department.Responsible for enforcing the terms in letter of agreement and guiding meeting planners through the planning process.Communicates the needs and expectations of the client with all relevant departments.Ensures successful execution of group and client satisfaction.What you will do:
Be a part of a start-up, pre-opening team!Responsible for overseeing the seamless execution of all assigned groups, charters weddings, meetings and special events, coordinating logistics, and ensuring all client needs are met.Collaborate with all departments and/or third parties to arrange meeting spaces, audiovisual equipment, F&B services, and provide exceptional customer service to clients throughout the event.Ensure events embody the highest standards of hospitality, reflecting the brand's bespoke and elevated guest experience philosophy and standards.Contribute to the development of signature onboard event concepts that elevate guest experience.Deliver signature moments. Design and deliver unexpected moments of delight that reflect a deep understanding of individual preferences.Create experience briefs and SOEs. In collaboration with F&B, Entertainment, and Housekeeping.Serve as primary POC for VIPs including UHNW individuals, wedding parties, and charter hosts.Manage vendor coordination: oversee 3rd party vendors brought on for events including entertainers, florists, stylists, and event setup / decor companies.Planning process:
Providing personalized support to clients, maintaining detailed records, and contributing to the success of events through efficient and attentive service.Plan and/or attend and/or participate in meetings with yacht staff and clients, including but not exclusive to: Morning Operations Briefings, Sales Meetings, Pre-Convention Meetings, yacht and site visits.Liaise with shoreside and shipboard teams to support seamless pre-arrival and post-disembark event logistics including VIP transfers, off-yacht experiences, and customs & immigration considerations as required or requestedFinalize the requirements of confirmed bookings while maximizing revenue potential through up-selling and ensuring the success of the event.Develop guest profiles in collaboration with concierge teams to tailor event offerings and personal touches for individual preferencesEnsure accuracy of budget and provide client with bill review on completion of program or event.Prepare a monthly booking report.Negotiate with clients through the use of creative and attractive menu presentations and event proposals to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.Supervise the execution of events. Review all function space with the yacht events manager and when necessary, Yacht General Manager.Make timely and impromptu decisions, which balance client's needs with the financial, safety and staffing goals of the yachtFind solutions to the inevitable challenges and glitches that arise while groups are onboard or ashore and keep the Manager of Shore Operations promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.Develop contingency plans for event execution in case of itinerary changes, inclement weather or other operational disruptions.Maintain knowledge of yacht facilities, capacities, and dimensions of meeting space and basic onboard and shore operations.Assist Yacht Service Specialist team to receive and handle guest's requests regarding shore and sea experiences, spa bookings, restaurant reservations and other general concierge duties onboard and ashore.Conduct post-event debriefs. Gather feedback from guests and crew to continuously improve future event execution.What you bring:
Bachelor's degree preferred or equivalent events leadership experience.Minimum 2-3 years' experience in a similar role in a luxury resort, hotel, cruise line or luxury yacht.Strong experience directly related to event management, preferably in a hotel cruise line, yacht or resort setting.Strong attention to detail and organizational skills.Ability to stand, walk for long periods of time. Mobility is required for this position.Excellent customer service skills.Strong, polished and effective communication skills.Ability to read, write, and speak English.Flexibility to work weekends and evenings will be required.Ability to travel for short periods of time as the business requires (up to 40%).Experience with event planning software and CRM tools such as Delphi, sevenrooms, or similar is prefered.What we are offering you:
