Role Purpose

An exciting opportunity has arisen for a Works Coordinator to join JLL’s Integrated Facilities Management business. The Works Coordinator will provide information to Permit applicants/Vendors regarding the building Permit requirements, inspection and general requirements of the Permit Process. This will include the administration of JLL an Client systems to ensure contractual compliance.

As a Works Coordinator your main responsibilities will include the communication with various teams across the portfolio to ensure compliance, preventing any procedural delays with an excellent level of attention to detail and proactive mindset.  You will assist with vendor oversight, reporting and data processing. You will work as part of a team but with a strong emphasis on independent outcome.

What this job involves but not limited to :

Job Responsibilities:

Coordinate permit requests and scheduling with various Vendors & Site ManagersLiaise with vendors with the intent to book service visits.To obtain a Method Statements & Risk Assessments for the works being requested, check the details are correct and obtain further clarification of details if the method statements fail to reflect the works being carried out.Ensure all relevant RAMS attached to the PermitIssue of additional client permits such as Isolation & Hot Works Permits.Check that the works are being carried out within the H & S @ Work  and Electricity @ Work ActsRaising/submitting requests (ServiceNow Changes) to cover Critical Engineering Services.Ensure that the works are carried out within the conditions of the JLL SSoW PolicyIdentify from RAMS risks to the clients business.Liaise with JPM & contractors should works impinge on other works or BusinessMeet with internal teams for project updates and assist with any issuesCoordinate with Project Managers regarding construction schedules and permit requirementsManage permit expirations and renewalsOrganize and track all permits.Completing Weekly/Monthly reportsFile proper paperwork required to obtain permits.

Excellent communication skills, both written and oralStrong organizational skillsExperience using Microsoft Office Suite (Excel & Word)Ability to Multi-taskMust be proactive and able to work independentlyMust be able to maintain a high level of accuracy and pay close attention to detail

Prior experience in facilities, property management or related field (preferred)Superior administration skills and attention to detailKnowledge of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageousUnderstanding of basic technical aspects of built environment(Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system) is advantageousThe ability to effectively deal with stressful situationsThe ability to work independently

Self-motivated; confident & energeticGoal-oriented – able to focus on meeting all performance targetsA strong communicator – good presentation skills and possess strong verbal & written communication skills
