What this job involves
The Workplace/Mailroom Coordinator will drive an exceptional client team member experience in every interaction, whilst delivering a range of on-site workplace related services.
This role plays a pivotal role in providing authentic service experiences that bonds the relationship between JLL, our client and their guest.
As the first point of contact they are responsible for welcoming employees with genuine hospitality and thoughtful services.
Delivery of key on- site administration services for all major IAG offices across AU & NZ.Build strong relationships with all stakeholders, respond to feedback, assist in the co-ordination and delivery of day to day running of office premisesSetting up meeting rooms for events, including arranging furniture, setting up audiovisual equipment, and preparing materials.Organize catering services for meetings, events, and workplace functionsLiaise with IT team to coordinate audiovisual assistance and technical support for meetingsDelivery of a high-quality service including mail receipt, identification, processing and distributionDrive digital influence within all departments Such as (NRMA, TNT and AU Post), providing the option of scanning all incoming mail/cheques to a digital mailbox and maximising the digital distribution of the maximum types of correspondence.Conduct regular floor walks to ensure all workspaces are fully operational and meet workplace standardsSecure destruction of scanned correspondence and storage in the manner required by record management regulations.Organize and schedule courier services for outgoing mail and packagesRedirect PO box correspondence to the appropriate centresHandle legal documents with care, ensuring proper filing and routingTrack and investigate lost items in transit, coordinating with carriers as neededSupport other functions as appropriate (IE backfill of roles, systems support, invoicing etc)Process coffee invoices and financial administrationPerform physical tasks that may include lifting objects up to 15kg, such as moving boxes, equipment, or furniture as required.Adhere to safety guidelines and protocols when handling and moving objects to ensure personal safety and prevent damage to property.Interested?
