Workplace Coordinator (Seattle)
Job Description ON SITE DAILY Office Build-Out & Expansion • Assist project managers, design teams, and contractors with planning and execution of office build-outs • Support permitting processes and timeline tracking for construction phases • Coordinate seating assignments and space planning for new layouts Vendor & Facilities Coordination • Serve as the primary contact for vendors handling cleaning, IT, plumbing, furniture installation, and moving services • Schedule and oversee maintenance visits and service delivery • Track vendor performance and escalate issues as needed Administrative Support • Manage daily office tasks including mail sorting, supply distribution, and workspace organization • Label and pack materials for internal moves or new hire setups • Maintain inventory of office supplies and reorder as needed Employee Experience & Event Planning • Organize team-building activities such as ping pong tournaments, happy hours, and seasonal events • Foster a positive office culture through morale-boosting initiatives • Coordinate logistics for internal meetings and celebrations Stakeholder Communication • Act as liaison between workplace operations and executive leadership • Provide updates on build-out progress and office initiatives • Ensure professional and timely communication with internal and external stakeholders We are a company committed to creating diverse and inclusive environments where people can bring their full, authentic selves to work every day. Skills and Requirements • Proven experience in a field similar to a Workplace Coordinator or Property Manager • Hands-on experience assisting project managers and team with office build-outs, including planning, permitting, and contractor coordination • Strong background in administrative office tasks: mail handling, labeling, packing, supply distribution, and seating assignments • Skilled in vendor coordination for facility maintenance (e.g., movers, cleaners, IT, furniture installers, plumbers) • Experience planning team outings and morale-building events • Comfortable interacting with C-level executives and stakeholders Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) • Background in a technical company or warehouse environment Familiarity with Asana, Slack, Google Calendar, and Expensify
