Workplace Coordinator
Work Dynamics - Integrated Facilities Management (Jakarta/Indonesia)
Respond to client inquires and concerns. Ensure timely and quality service delivery to client. Follow up with user to ensure customer satisfaction
Responsible for emergency onsite technical repair and maintenance independently if necessary, including providing timely and effective solutions, analyze the root cause of abnormal accidents in the equipment system.
Create work orders and assigns work orders to technicians, subcontractors, and vendors. Communicate work orders and assists management in resolving problems
Ensure work orders issued are closed in time with customer satisfaction
Maintain and check for accuracy on all completed paperwork (but not limited to service report )submitted by vendors
Manage all contracted hard service and ensuring they perform according to the contract requirement.
Manage building maintenance and all contractors who carry out works on site. Liaise, report and log defects over and above minor rectification, work with M&E engineers to ensure PPM is carried out to schedule
Ensure Annual Plan is maintained at all times to identify when statutory works, meetings and other key events are being carried out.
Conduct inspections on the facility and act on findings identified during the building and workplace inspections
Log helpdesk calls for contractor faults and required improvements
Escalate urgent issues identified through to the Facilities Manager or Client
Provide assistance with basic office moves and work with the project team during on site projects, handing over, providing assistance where necessary.
Ensure timely and accurate submission of quotations and proposal as and when needed by the client.
Ensure maintenance is carried out in line with procedures, using the permit to work system where applicable
Continually communicate building issues to end users, client and management team
Work with and support other members of the FM team
Provide daily report (report in email. Lark in english) with daily highlights, issues and incident if any.
Provide monthly report (PPT format in English) which include Executive summary, QSHE, KPI score, financial report, HR related matter, work order, stock inventory, utility management and next month work plan.
Support client for onsite asset management by using internal confirmed format for timely updates, checking asset label and ensure integrity of asset information
