Overall Role

Support the employee experience by providing hospitable and warm customer service within the office

Assist Workplace Manager in the delivery of soft & hard services

Manage all the maintenance matter of the premises including any maintenance, procurement, asset and vendor management

Develop an understanding of and sound working relationship with key representatives of the client, suppliers and team members.

Be the voice of the customer by listening and providing for their requests

Duties & responsibilities

To proactively engage with the users to deliver the clients’ key initiatives and messages; listen and understand the needs from them for future improvements.

Need to be culturally sensitive and perform work ethically and with integrity.

Responds to requests for information, service, and assistance in a timely manner.

Support in updating the office manual, operation manual, creating regular or ad hoc reports (incident reports etc.) when needed.

Manage any other duties as assigned by the reporting Manager for any operational or business needs

Handle soft services related matter (reception backup, mailroom, pantry, cleaning, pest control, landscaping, vendor access control, etc.)

Support the team to coordinate hard services related matter and maintenance with vendor and landlord (UPS, FM200, BMS, CMS, HVAC maintenance, Annual Shutdown, meeting minutes, monthly reports etc.)

Support in office events and be able to provide simple physical support when executing in-office events as a handyman/mover

Key Competencies

Desirably 1~2 years or more of career experience in Facilities Management or related fields (including hotels, front line concierge desks, F&B services, hospitality-focused industry)

Good communicator, confident, friendly, engaging

Good people skills and ability to interact with a wide range of client users and demands

PC literacy and proven ability to manage daily activities using various systems, including Google suits, Microsoft suits and slack

“Customer first” mind set

Passion to learn and expand career competencies

Team player and self motivator

Ability to adopt in the industry with high standard operational goals

Good Proficiency in English communication - Verbal and Writing
- Business level of English (TOEIC 650 points or more as a guide)
- Business level Japanese is a plus, not mandatory
