The Warehouse Associate supports the aviation operations leadership team, serves as the main contact for staff, clients, and external partners, and works closely with all parties. Essential Job Responsibilities Administration Advanced skill in all MS Office tools Ability to train and master SAP PO writing process Maintain accuracy when inputting invoices into SAP; prepare check requests and wire transfers Schedule and track various freight shipments Support aviation pool vehicles (maintenance, registrations, mileage, auto insurance, accidents) Plan and organize aviation functions Make travel arrangements (hotel, car, airline) for department Attend daily 9AM operation calls and various operations meetings Support development of presentation and training materials Maintain aviation documentation and update as directed P-card reconciliation and expense report submittal Adhere to established work schedule and punctuality standards Support inventory and stocking of warehouse parts and supplies Maintain confidentiality and protect company assets, including intellectual property Learn and master internal travel planning software (TrobexisOne and TrackIt) Receiving and Unloading Receive incoming shipments of parts and supplies, verify quantities, inspect for damages Unload trucks using equipment such as forklifts, pallet jacks, or hand trucks Record received inventory into management system and distribute to appropriate storage Inventory Management Maintain accurate inventory records through regular cycle counts and reconciliations Organize and store parts and supplies following safety and space utilization guidelines Monitor inventory levels and notify supervisors of shortages or discrepancies Perform other duties as assigned Shipping and Loading Prepare outgoing deliveries ensuring timely and accurate scheduling Load merchandise using appropriate equipment and techniques Coordinate with logistics personnel to schedule pickups and deliveries Safety and Compliance Follow safety protocols to prevent accidents and injuries Operate equipment safely; maintain clean and organized work area Comply with company policies regarding safety, security, and regulatory compliance Core Competencies Commitment to Excellence – Takes initiative to exceed job expectations Corporate Values – Embraces and integrates Fairweather values into daily work Customer Service – Provides excellent service to internal and external clients Teamwork – Builds and maintains collaborative relationships Safety and Security – Promotes a safe work environment Qualifications Eligibility for an airport SIDA access badge Ability to complete multiple, diverse tasks with differing priorities Forklift certified; experienced with pallet jacks and hand trucks Strong communication skills with all personnel and contractors Ability to translate complex information clearly in writing and verbally Availability to work established schedule Ability to resolve conflict and manage difficult situations Effective information management and timely communication Ability to maintain productive relationships across teams Strong safety awareness in decision-making Preferred: Microsoft Office (Word, Excel, PowerPoint, Outlook) Working Conditions Work is generally sedentary Involves routine walking, standing, bending, and lifting items under 40 pounds Operating a forklift required Working Environment Primarily in a professional office setting Interacts with a wide variety of people with diverse roles and personalities Physical Demands Routine walking, standing, bending, and lifting (under 40 lbs) Use of forklifts required [Reasonable accommodations may be made in accordance with ADA] Reasonable Accommodation Fairweather provides reasonable accommodations to all qualified individuals with disabilities, as required by applicable laws.
