**Job Summary:**
The Vice President of Retirement Plan Systems and Operations is a senior leadership role responsible for overseeing the strategic direction, execution, and continuous improvement of systems and operational processes supporting the organization's retirement plan services. This includes defined contribution (401(k), 403(b), 457), non-qualified plans, and other retirement products. The VP will work directly with divisional managers in leading cross-functional teams focused on plan administration, system architecture, vendor management, regulatory compliance, and client service delivery. This dual-role position is responsible for bridging the gap between operations, technology, and product development to ensure that our recordkeeping platform meets regulatory requirements, customer needs, and strategic goals.
**Key Responsibilities:**
**Business Analysis:**
+ Analyze existing recordkeeping systems, workflows, and data structures to identify inefficiencies, gaps, and improvement opportunities.
+ Collaborate with internal stakeholders (e.g., operations, compliance, technology, finance) to gather and document business requirements.
**Product Management:**
+ Own the product lifecycle for recordkeeping features and capabilities — from ideation and design through development and launch.
+ Define product strategy and roadmap aligned with organizational objectives and regulatory mandates.
+ Prioritize product backlog, user stories, and enhancements in collaboration with engineering and QA teams.
+ Conduct market research and competitive analysis to ensure product differentiation and value.
+ Partner with UX/UI teams to design intuitive, user-friendly interfaces and reporting tools.
**Cross-Functional Collaboration:**
+ Serve as the subject matter expert (SME) on recordkeeping capabilities for internal teams, clients, and third-party vendors.
+ Support client onboarding, data migrations, and customizations related to recordkeeping services.
+ Provide training, documentation, and support for internal users and stakeholders.
**Operational Excellence:**
+ Oversee day-to-day systemic operations including plan setup, contributions, distributions, and reporting.
+ Ensure operational controls and audit readiness to meet regulatory and fiduciary standards (ERISA, DOL, IRS).
**Systems Oversight:**
+ Direct the architecture, integration, and performance of recordkeeping and administration systems.
+ Collaborate with IT to drive automation, data security, and system scalability.
**Vendor and Partner Management:**
+ Manage relationships with third-party administrators, custodians, trustees, and system providers.
+ Negotiate contracts, SLAs, and monitor vendor performance.
**Team Leadership:**
+ Lead, mentor, and develop high-performing teams across operations, client services, and systems support.
+ Foster a culture of accountability, innovation, and continuous improvement.
**Client & Stakeholder Engagement:**
+ Serve as a senior escalation point for key clients and internal stakeholders.
+ **Regulatory & Risk Management:**
+ Stay current on legislative changes impacting retirement plans.
+ Ensure processes comply with all applicable laws and industry standards.
**Qualifications:**
+ Bachelor’s degree in Business, Finance, Information Systems, or related field, or qualifying industry experience.
+ 3-5+ years of experience in retirement plan operations, with at least 2 in a leadership role.
+ Strong knowledge of ERISA, IRS, and DOL regulations.
+ Experience with retirement plan recordkeeping systems (e.g., Omni, Relius, Ascensus, Voya, Empower, etc.).
+ Proven track record of leading operational transformation and system upgrades.
+ Excellent leadership, strategic thinking, and communication skills.
+ Familiarity with tools like JIRA, Confluence, Figma, SQL, and data mapping techniques.
**Skills:**
+ Strong analytical and problem-solving skills.
+ Excellent written and verbal communication, with ability to explain complex systems to non-technical audiences.
+ Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment.
+ Detail-oriented with a strong focus on data integrity and compliance.
+ Strategic thinking with a user-first mindset.
