 Job Summary

Under policy direction from the Hospital Manager, this associate is responsible for managing pharmacy inventory which includes; filling medications, dispensing medications (with doctors approval) and educating the clients on the administration and handling of all medications, inventory, recordkeeping, providing visual documents to the clients (lifelearn, VIN, and any rebates). 

Knowledge, Skills and Abilities:

< >Customer service. Associate relationships Inventory management Knowledge of sales and marketing techniques (including rebate knowledge).Must be friendly, outgoing and “people oriented. Good communication skills, both written and oral, goal oriented. (includes Woofware and telephone etiquette)Strong math skills needed and excellent visual acuity sufficient for alphabetization. It needs to be very organized. Knowledge of Royal Canin and Hill’s dietary needs Background in managing service-oriented operations. Ability to plan, organize and effectively present ideas and concepts. The ability to take information obtained from clients, staff, and other sources, discern which is credible and assess the hospital and its operation objectively. Must be able to handle multiple tasks at once, and deal with high levels of stress in an environment of changing priorities. Well versed on Home Delivery and needs to make Home Delivery our first choice of recommendation. Understands the comparison worksheets to support our clients in moving over to Home Delivery 

Education and Experience

< >High School Diploma. Some college education preferred.College or college-equivalent education as required in becoming a certified pharmacy technician.You must have a minimum of 3 years of experience in veterinary care facility. Knowledge of sales and marketing techniques.Thorough knowledge of the veterinary profession. 

Authority:

< >To direct hospital teams on appropriate education of products and medicationsTrain, review, schedule discipline, and make recommendations to management team.To make training recommendations To report to Hospital Manager 

Physical Requirements:

< >Dependable attendance is required.Any allergies to animals must be controllable through medication.Must be able to lift 40 pounds.Must be able to walk, sit, squat, bend, stand, reach, and lift for a minimum of 8 hours a day.Must be willing to work long or irregular hours under pressure conditions.Visual acuity is sufficient to maintain accurate records, recognize people and understand written directions.Ability to speak and hear sufficiently to understand, give information in person and over the telephone.Fine motor skills adequate for utilizing office equipment such as facsimile machines, computers, copiers and hospital equipment such as laboratory equipment, radiology equipment, etc.Visual acuity is sufficient to maintain accurate records, recognize people and understand written and verbal instructions.Ability to speak and hear sufficiently to understand, give information in person and over the telephone.Demonstrates fine motor skills for utilizing hospital equipment such as syringes, laboratory equipment, computers etc.Adhere to appropriate dress codes to include proper attire and nametag (see staff image in the company handbook) 

  Duties

Staff Management:

< >Verify all medications.Train staff in proper filling techniquesEnsure staff accurately fills medication and injectable medications and use proper pharmacy recordkeeping techniques to ensure clients receive the correct medication, with the correct dose at the correct times.Ensure staff refuse to fill medication without written doctor’s orders, as per hospital policy.Ensure that all patient medical records are complete and accurate and they have had an exam recently prior to doctor approving.Handle conflict with maturity and emotional intelligence.Promote an ethical working environment, which includes honesty when dealing with staff/clients, including medical and financial integrity.Mentor and train technician staff to accurately fill meds, fill controlled medications following VCA Controlled Drug policies.Properly trained to utilize WoofWare and are able to cash clients out accurately and balance their drawer at the end of the day.Flexibility in working hours is required to ensure that the job is done properly (willing to work beyond scheduled hours if necessary). 

Home Delivery Management·All medications are ordered through home delivery.·No faxes for medications are signed.
 ·Need to be aware of all programs related to rebates or coupons.
 ·Needs to run monthly reports to spot check certain food, medications etc. and reach out to clients to get them over to home delivery while explaining the benefit of receiving through Home Delivery
 ·Needs to work with VetSource on any new programs or initiatives and meet with them once a quarter to better understand the products/food/medications that they provide. Patient Management·All medications being filled through the pharmacy have a written order in the medical record of that specific patient and the doctor has notated how long the refill is good. ·Pill assists are placed in every prescription going home to provide a stress-free environment for that patient when providing medication and be prepared to explain the value of why we’re doing.

·All refills or medications to be filled should go to the pharmacy for review prior to getting the doctor’s approval to avoid doctor communication tasks overload, the pharmacy tech can then review the last time they were in for an examination or labwork
 ·All medications/communication tasks should be routed to the pharmacy and a prompt set up to do so either by 8x8 or transferring the call
 ·Have an outline of how often certain medications/patients should have a follow up if on the medication.  ie Apoquel should be at least every 3-6 months for a follow up appointment
 ·Home Delivery brochures should be placed in every RX bag going home along with instructions on how to use pill assists.  Client Management:

< >Oversees training of staff in accordance with the principles of the VCA Mission Statement, Three Steps of Service and VCA Standards of Client Service and that the above is known and practiced by all.

Oversee client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner.

Responsible for administration and review of non-medical SOP’s.Be PNAP and Virbac certified

Office Management:< >Modify and update systems and procedures needed to better serve clients, patients, the practice and employees (i.e., modify schedules for the most productive use of time).

All products/food/medications for associates need to be approved by the hospital manager to ensure invoicing/payment.

Ensure that the OSHA and Safety program, procedures and reporting are continuously monitored and updated so the hospital is within safety compliance. 

Records Management·Maintains accuracy for all medical records and are kept up to date
 ·Ensure that the pharmacy logs and checklists are kept up to date and accurate
 ·Assists in quarterly inventory counts.Financial Management:

< >Confirm all medications/products/food have been entered on the invoice.All medications/products/food are invoiced under the correct provider.Review costs of medications/products to make sure we’re charging appropriately.Meet with home delivery quarterly for a financial review of the hospital’s progress. 

Marketing Management·Understands why we have certain programs in place and the benefits related to those programs.·Able to discuss the programs in full and promote a positive experience for our clients.·Understands all products/food/medications within the hospital and what each one is utilized for.·Understands how to explain the military discount/senior discount through home delivery only.Facility Maintenance:

< >Oversee the maintenance/housekeeping of the hospital for orderliness and cleanliness of both the inside and outside of the building.Oversee that the VCA safety procedures are implemented and followed.Meetings:< >Attend all meetings to review the status of hospitals pharmacy /inventory strategies.Come prepared to discuss concerns that have come up and how to handle them regarding the pharmacy job description.Communication:< >Read and respond to all communication in a timely manner.Ensure that VCA policies, guidelines and recommendations are quickly communicated to hospital staff and adequate training follows. 

    Pharmacy Cleanliness and Organization

< >All medications are labeled in alphabetical order or by category with reorder points. ·Follow all AAHA guidelines on pharmacy.

·All ready to go home prescriptions shouldn’t go past 7 days without calling them and notating on the bag and record.  ·Floors and counters are to be kept clean and clear. ·Control drug box should be kept locked at all times (if you ever notice it being unlocked report to manager immediately)Production Management:·All medications are invoiced under the last prescribing doctor to ensure accuracy of medical records
 ·All products are invoiced under the hospital unless dispensed during a visit (anything that requires approval should be under a doctor) Food and over the counter should hit the hospital unless prescribed during a visit.
 ·Any outside script needs to be provided with a written prescription and the corresponding code utilized on the invoice.
 ·A spreadsheet for any outside scripts should be maintained for the manager to review monthly.
