Primary Purpose of the Organizational Unit The Bryan School Graduate Programs Office provides administrative and student support services for the following graduate programs: MBA, MSA, MSITM, MS in IB, and 9 Post Baccalaureate Certificate programs (henceforth referred to as ‘graduate programs’). The office provides support for recruiting, admissions, graduate assistantships appointments, and events for prospective and enrolled students in the stated graduate programs.The Graduate Programs Office works closely with the following internal constituents: Associate Dean/MBA Program Director, Assistant Dean, Administrative Director of Graduate Programs, Business Manager, MSA Program Director, MISITM Program Director, and the MSIB program director. The office supports almost 600 enrolled students, approximately 30 graduate faculty, approximately 25 graduate assistants and processes over 800 applications per year.
Position Summary This University Program Associate shall be responsible for providing multifaceted support related to graduate programs offered within the Bryan School. Activities shall be in personnel and financial processing, as well as making contributions to general operations and student support. As outlined in greater detail below, key responsibilities include, but are not limited to, overseeing the Bryan School’s graduate assistantship process, budget maintenance, financial processing to meet operational needs, and general program support.
For success in this position, the individual will need a high degree of accuracy/attention to detail, strong analytical skills, and comfort using data platforms and technology. As this is a team-oriented role, the individual must be able to work well with others, engage in clear and professional communication tailored to various audiences, and provide excellent ‘customer’ service. The ability to self-initiate work and independently resolve issues will be important across all responsibilities.

For students funded by the MBA, MSA, MSITM, and MS in IB programs, initiate personnel actions to hire graduate assistants during the academic year or summer sessions. For students supported by other graduate programs, ensure accuracy of personnel actions initiated by other staff, providing corrections as needed. Coordinate with Associate Dean and Business Manager on budget allocations, engaging in activities such as tracking balances and forecasting budget needs. Recommend process improvements to respond to university changes or build greater efficiencies, as needed. Offer instruction and oversight to student employees to ensure compliance with onboarding processes by prescribed deadlines. (I-9, payroll, FERPA, etc.) Process personnel actions to amend or terminate active student appointments, as needed. Assign GAs to programs and departments based on available students and program needs. Provide guidance and support to GAs and their supervisors concerning work hours, expectations, and relevant graduate school policies. Serve as a content expert on eligibility issues for both assistantships and tuition support. Serve as primary contact for inquiries from the Graduate School and UNCG Global Engagement Office. Serve as primary contact for graduate students with payroll or student account inquiries. Key Responsibility Budget Maintenance Essential Tasks Coordinate with Associate Dean and Business Manager to track revenue and expenditures related to tuition differential across all Bryan School programs. Provide accurate and detailed financial reporting, reconciling within prescribed deadlines. Actions include earmarking budget for current personnel obligations (staff and GAs) and forecasting budget availability for future development opportunities. Provide monthly revenue updates to graduate programs. Identify and escalate any irregularities in student tuition differential revenue to the Cashier’s Office for investigation/resolution. Maintain budgets and financial records for the Administrative Director of Graduate Programs, including MBA program state funds and endowments. Duties include timely reporting to inform decisions and record maintenance to adhere to university retention guidelines. Key Responsibility Financial Processing Essential Tasks Financial processing related to graduate capstone course(s)—includes, but not limited to, issuing invoices, processing honorariums, student reimbursements, and other personnel actions. Financial processing related to study abroad opportunities—includes, but not limited to, tracking student payments, coordinating with vendors, issuing payments, employee travel accommodations and reimbursements, and other trip logistics. Financial processing related to graduate engagement events and daily operations within the Graduate Programs Office. In all areas, activities shall involve coordinating with internal and external partners (vendors, UNCG offices, employees, and students), processing expenditures through a variety of modalities (purchase orders, Pcard, check requests, etc.). Individual shall serve as a content expert on financial processes for internal customers. All expenditures shall be made in compliance with university policy, reflecting allowable use and best practices Key Responsibility General Program Support Essential Tasks As requested, collect and report data for Associate Dean and/or Administrative Director of Graduate Programs. With end-users and their objectives in mind, present data accurately with a focus on ease of use. Provide course scheduling assistance for graduate programs. Provide administrative, planning, and budget support for graduate student study abroad programs. Aid with student registration issues, as needed. Facilitate efforts for the Graduate Curriculum Committee including managing curriculum paperwork through UNCG process and system, monitoring and meeting prescribed deadlines. Aid Administrative Director of Graduate Programs with onboarding and credentialing needs when hiring part-time instructors. Communicate information to internal constituents including program directors, faculty, and students. Support for Bryan website graduate landing pages and syllabi repository. As assigned, participate in other duties that promote graduate enrollment, student engagement, and positive outcomes.
