Training Program Coordinator - Anatomical Pathology

The primary role of the GME Training Program Coordinator is to provide initial customer service and manage various administrative tasks related to clinical trainee applications, appointments, onboarding, and orientation. The position involves handling human resources, educational appointments, program support, and database maintenance. The coordinator is responsible for ensuring compliance with institutional regulations for all trainee populations in the Division of Pathology and Laboratory Medicine. This includes coordinating various medical education programs, such as ACGME accredited fellowships, TMB-approved fellowships, elective rotators, medical student electives, continuing medical education (CME) lecture series, Observer program for both trainee and practicing physicians, and new training program initiatives.
JOB SPECIFIC COMPETENCIES -
*Perform complex, independent program coordinator duties related to Division of Pathology and Laboratory Medicine's clinical fellows, rotating residents, trainees, and observer appointment, reappointment, and separation process.*
• Process all aspects of educational application, appointments, reappointments, and separations in compliance with divisional and institutional policies, government regulations, and appropriate oversight agency requirements for the clinical rotator, visitor, observer and student trainee population.
• Input and maintain critical data in applicable databases including DISCOVER and SLATE systems. Maintain electronic trainee records ensuring accuracy and integrity of data across related systems.
• Provide advice and serve as a resource to trainees, faculty, and administrative staff across the division.
• Serve as a back-up for other program coordinators within the Division, as needed.
*Perform human resources functions related to the elective rotators, visitor, and observer trainee onboarding process.*
• Responsible for handling all aspects of the onboarding and orientation process for clinical educational appointees in compliance with divisional and institutional policies, government regulations, and appropriate oversight agency requirements.
• Intervene as needed to assist trainees experiencing difficulties with onboarding contingencies and serve as a liaison with internal business partners.
• Maintain applicable information systems and databases pertinent to recording and managing onboarding contingencies, including development and dissemination of rotation schedules, curriculum goals and objectives, end of rotation evaluation, and feedback processes
• Coordinate and facilitate onboarding sessions, including divisional tours.
*Provide customer service and administrative support to trainees, educational program directors, oversight committees, and coordinators.*
• Respond to calls and emails from applicants, trainees, and other internal and external stakeholders to answer questions, solve problems and perform related task as required or assigned.
• Serve as liaison on behalf of trainee/visitor/observer/program with internal departments, i.e. GME. Legal, RTD, and Visa offices.
• Compose formal and informal responses to general requests for information regarding trainee/visitor/observer appointments at MD Anderson.
• Validate appointment history and compose formal standard responses to requests for verification of educational training of rotator/visitor/ observer population.
• Participate in the ongoing effort to maintain data integrity in all applicable educational systems by actively reviewing, processing, and resolving issues, if arise.
• Assist with coordinating initiatives for clinical fellows, including new fellows' orientation, divisional research summit, didactic lectures, local and regional conferences, graduation, and special projects.
• Assist with coordinating oversight committee activities and facilitate reporting of data to institution and accreditation agency.
• Provide backup support to program administrative staff.
*Education Contract Management*
• Collaborate with external residents, fellows, medical students, and program coordinators/directors for timely appointment processing and contract execution.
• Facilitate the flow of educational contracts through respective offices, including Legal, Graduate Medical Education (GME), and external institutions.
• Track resident/trainee/observer rotations to ensure contractual compliance.
*Financial Management*
• Manage and track the budget for rotating residents and fellows from core institutions. Gather financial data for reporting.
*Other duties as assigned.*
EDUCATION - Bachelor's Degree required, Master's Degree preferred
WORK EXPERIENCE - 3 years related experience required, to include experience coordinating a residency, fellowship or research training programs. One year of related experience required with preferred degree. May substitute education for additional years of experience on a one-to-one basis.
LICENSES AND CERTIFICATIONS - TAGME certification preferred
This position may be responsible for maintaining the security and integrity of critical infrastructure, as defined in Section 113.001(2) of the Texas Business and Commerce Code and therefore may require routine reviews and screening. The ability to satisfy and maintain all requirements necessary to ensure the continued security and integrity of such infrastructure is a condition of hire and continued employment.
