Purpose
The Associate Director of Texas Parents provides leadership, supervision, and support for the programs and initiatives of the department. This position serves a critical role in the design and implementation of a variety of programs, with primary responsibility for Family Orientation. The Associate Director is responsible for developing and maintaining campus-wide collaboration and partnership, aligning policies and practices with the Office of the Dean of Students, and focusing on program growth so that Texas Parents serves all Longhorn families and parents. Additionally, this position will manage assessment planning and reporting.
Responsibilities
Effectively develop, plan, direct, coordinate and manage all aspects and logistics of The University of Texas at Austin's signature programs and initiatives, with primary responsible for the multiple Family Orientation programs and related parent conferences including, but not limited to, fall and summer incoming freshmen and transfer, athletics and international. Align goals of the programs within the overall mission of Texas Parents and the Office of the Dean of Students. Serve on the Orientation Logistics committee as needed. Work with the Director of develop and manage budgets and strategic plans for key Texas Parents initiatives.Execute a comprehensive program for stakeholders during Family Orientations and other Texas Parents programs, as needed. Working closely with multiple departments within the University's academic and non-academic sectors, devise a curriculum and schedule of topical and relevant opportunities for parents to include welcome sessions, resource fairs (Longhorn Neighborhoods), choice sessions, college/school sessions as well as meals and/or social activities included in registration fees. Attend all orientation sessions and serve as master of ceremonies presenter for Family Orientation content. Coordinate responses to Family Orientation emails, calls and registration management requests.Create and maintain central Texas Parents department timeline and project-specific timelines for planning, execution and post-event assessment for Texas Parents programs, communications and events. Develop Texas Parents assessment plan and attend required Division meetings. Analyze results in relation to identified goals. Responsible for data entry and management. Produce reports related to program attendance, programming, expenses, trend identification, and post-event analyses.Effectively develop, plan, direct, coordinate and manage all aspects and logistics of Mike Wacker Award and Staff Merit Awards including processes assigned to student staff regarding applications, confirmations and selection committee materials. Promote awards to appropriate audiences to increase nominations.Coordinate all student and volunteer staffing for Family Orientation and other parent conferences including creating job descriptions, recruitment, interviewing, scheduling, training, supervision and evaluation. Collaborate with Program Coordinator for Office Management and Communication for human resource and communication processes.Serve as a contributing staff member, contribute to a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced office. Keep abreast of current events as they pertain to students and their families. Perform other duties as assigned and serve in the absence of the Director of Texas Parents when necessary.Required Qualifications:
Bachelor's degree. Experience in student affairs administration. Experience supervising staff. Experience developing, directing and executing orientations or other major programs in a university setting. Six years of experience coordinating or administering a program. Demonstrated expertise with attention to detail, accuracy and problem solving. Exceptional organizational and planning skills. Experience providing exceptional and professional customer service, and operating both independently and as a vital part of a team. Exceptional writing skills and verbal communication skills. Proficient computer skills, including Microsoft Word, Excel, PowerPoint, and experience using a database program such as FileMaker Pro or Access. Knowledge of programs, organizations and activities at The University of Texas at Austin.
Preferred Qualifications:
Master's degree in Higher Education Administration or a related field. At least eight years of experience in student affairs administration, performing roles similar to the essential functions of the position. Experience at a large, public institution. Experience building partnerships and collaborating across departments. Experience supervising professional staff. Knowledge of UT Austin policies and procedures, and UT history and traditions. Proven ability to assess learning outcomes and program impact.
Salary
$80,000
Working Conditions
Work around standard office conditions. Repetitive use of a keyboard at a workstation. Use of manual dexterity. Lifting and moving (membership benefit items), reaching, pushing, pulling. Work under stress, under deadlines, as a team member, independently, in a shared office space with interruptions and with overlapping projects.
Work Shift
Work location is on the main University of Texas at Austin campus. Standard work hours are Monday – Friday, from 8am – 5pm. Work additional hours during peak times, including early mornings, evenings and weekends, especially during the summer months during Family Orientation. Regular and punctual attendance at the workplace required. Must be eligible to work in the United States on a full-time basis for any employer without sponsorship.
