Reporting to the Technical Service Manager, the Technical Service Administrator is responsible for coordinating and following up on the administrative activities of the technical service area, ensuring efficient execution of the service calendar, timely communication with clients, accurate billing of completed services, and the provision of information for monitoring KPIs, operational reports, quality management, and proper use of the CRM and ERP systems. The Administrator is responsible for contributing to the achievement of the department’s objectives through continuous improvement, process standardization, and effective use of DBS tools, thereby ensuring excellent service and strengthening client relationships. 

 

This position is part of the Technical Service Department located in Col. Industrial Vallejo, Deleg. Azcapotzalco, México D.F. and will be hybrid (4 days in the office, 1 day remote).  

 

In this role, a typical day will look like: 

 

Coordinate and assign activities to service engineers, aiming for an efficient workload balance through the use of Lean methodology and proper service prioritization. 

Ensure the operational service delivery of the department. 

Ensure the collection, integrity, and availability of the information required for measuring and monitoring KPIs within the Technical Service department. 

 Manage and submit service quotations in a timely manner, based on customer requirements and the diagnostics provided by service engineers 

 Execute and verify accurate invoicing for services performed each month. 

Manage the inventory of spare parts and tools assigned to the service area. 

Support the service sales team by validating quotations when required 

Coordinate the reception, repair, and shipment of equipment sent to the workshop, ensuring compliance with the timelines agreed upon with the customer. 

Follow up on the payment of services quoted and provided to customers 

Address customer service requests and needs, ensuring a positive and satisfactory experience 

Responsibly manage resources assigned to the department, ensuring proper and efficient use. 

Keep the Technical Service workshop in optimal condition. 

Actively collaborate on the implementation of new projects or initiatives with other departments. 

Conduct GEMBA Walks to identify opportunities for improvement in operational processes. 

Foster a respectful and collaborative work environment within the team and across departments. 

 

 

The essential requirements of the job include:   

Candidates must hold a degree in Industrial, Chemical, Biomedical, Electronic Engineering or Administrative degree experienced in coordinating and supervising the Technical Service area. 

Proficient in English: 80% reading, 80% speaking, 80% writing. 

Proficient in CRM and ERP systems; knowledge of ServiceMax, Salesforce, and Oracle is a plus. 

At least 1 year of experience as a Dispatcher or Administrative in a Technical Service department or similar. 

Strong negotiation and effective communication skills.
