Team Lead, Operations, VIS, SG

Primary duties and responsibilities

-Point of contact between BDM and Operation functions such as CEF, Order Fulfillment team and delivery vendor to provide excellent service to our customer

-Ensure smooth operations supporting the team, providing optimal solutions

-Ensure daily shipment from global lab arrive as promised

-Troubleshooting when an issue arises, such as investigate customer complaints or lost items.

-Ensure sufficient stocks available, and advise next incoming shipment

-Perform weekly stock replenishment

-Raising Purchase order for local purchase

-Supervising distributors order to reduce the time for back log


Operational

Administer KPIs to ensure operational objectives are achieved

Manage staff performance, shift schedules, training, and discipline

Enforce safe work procedures, good housekeeping, and hazard identification

Implement improvement projects to enhance operational efficiency

Prepare and update packing lists and shipment reports (local and overseas)

Monitor and ensure timely arrival of daily shipments

Perform goods receipt and ensure documentation completeness

Generate weekly On-Time Delivery (OTD) reports

Provide regular reports and insights to management

Assist the Manager, Operation & Customer Excellence in overseeing day-to-day efficiency

Inventory Management

Plan and manage end-to-end inventory operations for AEM and SG

Collaborate with commercial team on new product launches

Set stock points and manage inventory adjustments, write-offs, and disposal

Conduct monthly, annual, and ad-hoc stock counts (incl. consumables and cycle counts)

Forecast monthly demand and submit replenishment plans

Place and follow up on orders for VTS and regular stock

Monitor stock availability and maintain optimal inventory levels

Recommend warehousing adjustments based on demand trends

Anticipate future stock needs and support FSV stock replacement

Prepare and submit quarterly inventory provision reports

3. Procurement

Manage 3rd party vendor relationships and procurement activities

Oversee replenishment of consumables, packing materials, and office essentials

Monitor vendor contracts, pricing, and delivery lead times

Handle purchase requisitions and ensure timely delivery

Liaise with finance for invoice matching and payment follow-ups

Manage dispatch rider vendor operations and performance

Drive improvements through performance reviews and vendor feedback

Source and evaluate vendors for ad-hoc/project-based needs

Negotiate pricing and delivery terms to achieve cost savings

4. VTS Process Management

Manage VTS cases including SWAPs, loans, returns, and documentation

Coordinate local deliveries and international shipments (e.g., Germany)

Track VTS job status, ensure timely closure, and maintain accurate records

Work with sales teams to align VTS priorities with customer needs

Ensure compliance with audit and GDPMDS requirements

Recommend and implement improvements for VTS processes

Liaise with finance for related invoicing and credit note handling

5. Inventory System & Reporting

Create, Maintain inventory master data and codes in the ERP system (U8)

Perform demand forecasting for Singapore and AEM markets

Lead month-end inventory closing and reconciliation

Generate and submit stock movement and inventory reports

Identify and address slow-moving or excess stock

Support variance analysis during annual and ad-hoc stock take activities

Ensure inventory accuracy through coordination with warehouse teams

Collaborate with finance on accurate inventory valuation

Assist in UAT and ERP system enhancement related to inventory

Job Requirements

University degree and/or Diploma in supply chain management, business admin, logistics

7 years of relevant working experience in supply chain management, including procurement, logistics, inventory control, and distribution

Understand supply chain processes and best practices, including demand forecasting, inventory optimization, and vendor management

Hands-on experience in logistics operations, including transportation management and warehouse operations

3 years of experience in a leadership role

Excellent leadership skills

Strong negotiation skills to secure favorable terms and pricing with vendors

Ability to leverage technology for process automation and data management

Good command of spoken and written English is a must

Ability to communicate in Mandarin is a plus
