Location Overview

Based in the 8th arrondissement and within the Parisian Golden Triangle, our beautiful Art-Deco era office benefits from luxury modern workspaces, an abundance of natural light and is easily accessible by public transport.

Role Description

We are looking for a Team Assistant to support the Paris Research Team. This is a small but very active team, highly integrated into our Markets business and into Global Research as a whole. You will be managing the office of the Head of EU Research and the research group generally. The role will entail ever changing priorities, so the successful collaborator will be fully committed and resilient. You will need to be able to work in a high pressured environment with conflicting priorities. The ideal collaborator works great in team and has the ability to engage at all levels of the organization and externally.

Responsibilities:

Extensive diary management - scheduling meetings and establishing priorities to ensure smooth and efficient running of daily schedules

Organising/coordinating team/client dinners/events - internal and client liaison to establish suitable meeting time and place

Performing daily administrative functions: scanning, printing, submitting technology/facilities requests

Arranging complex domestic and international travel in high volumes

Handling expenses using the internal expense management system (Concur)

Using in-house templates and systems for Production of Research notes and PowerPoint presentations

Meeting Production deadlines by formatting publications/presentations before sending them to print

Liaising with Compliance and Production to ensure Research goes through quality control process

Assisting Analysts with the collation of data and with Client requests

Updating spreadsheets and charts with the latest data

Professionally handling calls for the team

Handling sensitive and confidential material

What we are looking for:

Experience with a large firm (banking not essential, but ideally a large organisation)

Excellent computer skills including Outlook, Word, Excel, and PowerPoint

The ability to multi-task combined with excellent organizational skills

Excellent written and oral communication skills

Ability to work with staff and clients

Outstanding planning/organizational skills

Mature, calm, diplomatic, and professional approach at all time and at all levels

 Knowledge of firm’s regulatory needs in so far as they relate to Research
