This position is responsible for providing essential administrative and coordination support to the Talent Acquisition team, ensuring a smooth and positive experience for all candidates and hiring managers. In addition, this position is responsible for delivering our Five Star Experience to Guests and fellow Team Members. Provide outstanding customer service to guests and all other employees by exceeding our mission statement. Deliver our Five Star Experience to Guests and all Team Members by embodying our Mission Statement and Service Promise while adhering to department service standards. This entails consistently performing our service expectations of: Welcoming, Proactive, Seamless, Personalized and Valued. Greet and welcome candidates and visitors to the Talent Acquisition department, helping them or referring them to the appropriate staff member. Present a fresh and open personality where applicants and Team Members feel welcome and appreciated. Answer, screen, and/or direct all Talent Acquisition and HR-related telephone calls to the appropriate staff member. Convey a hospitable and service-friendly approach when assisting Team Members, Applicants, Vendors, and any other guests. Assist with the application process, answering questions and inquiries about job postings, applications, and general recruitment matters. Coordinate the processing of applicants approved for hire and team members transferring to other positions, collaborating closely with the Background Investigations Department and other relevant teams. Support the Talent Acquisition Staff by tracking onboarding of new hires and background processes including completion of onboarding documents while communicating to appropriate parties Support Talent Acquisition staff by translating documents into Spanish and by translating for the staff when communicating with Spanish-only speaking team members and visitors as appropriate. Coordinate recruiters' and hiring managers' calendars, scheduling interviews and appointments as required. Enter and manage candidate information into our Applicant Tracking System (ATS) and other computerized tracking systems to originate, update, reconcile, transfer, and/or track data for all Tribal entities. Compose and submit recruitment-related correspondence for approval (e.g., offer letters, interview confirmations). Establish, update, and maintain recruitment filing systems (e.g., databases and spreadsheets) to track candidate information and recruitment metrics for all Tribal entities. Coordinate and arrange recruitment meetings, prepare agendas, and reserve and prepare facilities. Gather and summarize data for recruitment reports and correspondence from computerized tracking systems and manual files to provide accurate information and insights. Manage department mail, including screening incoming correspondence to refer to the appropriate staff member for response and preparing outgoing mail for pick-up. Assist Talent Acquisition staff by coordinating and supporting recruitment events (e.g., career fairs, hiring events). Ensure compliance with all Minimum Internal Control Standards (MICS) as well as all Tribal Internal Control Standards (TICS). Present a positive image of the Tribal organization to its guests and vendors and to assist them as required. Follow all safety policies and procedures and attend all scheduled safety meetings and training as a condition of employment. Perform any other duties that may be assigned from time to time to support the Talent Acquisition function. Supervisory ResponsibilitiesThis job does not require supervisory duties.
QualificationsEducation And Experience (Must Be Documented) High School Diploma (or GED) required. One (1) year of increasingly responsible administrative or coordination experience, preferably within Human Resources or a recruitment-focused role. Bilingual in Spanish preferred. Certification, Licenses And Any Additional Requirements Must pass periodic random drug screens. Must be able to pass background suitability investigation. Must obtain a Tribal Gaming License. Must obtain all other applicable certifications and licenses. Must provide proof of eligibility to work in the United States within 72 hours of employment. Multiple locations. Some enterprises are open 24 hours per day, 7 days per week; therefore, you must be flexible to work any and all hours. Must be available for emergency calls 24/7. Must be available to work weekend and holidays. Some enterprises are gaming facilities. Some enterprises are not a smoke-free environment. Surveillance cameras and audio equipment monitor the premises recording activity throughout most of the facilities on 24 hours per day, 7 days per week basis.
