The Sustainability & Project Coordinator will work with the Director of Operations to manage our building portfolio's utility performance, regulatory compliance, sustainability, operational initiatives and associated project involvement. This role is critical to maintaining our commitment to a sustainable operation while ensuring all regulatory requirements are met across our properties.
Key Responsibilities
Compliance Management & Documentation
Assist with regulatory submissions including BEUDO (Cambridge), LBER (Massachusetts), and GRESB, particularly during compliance periods.Update and analyze Energy Star Portfolio Manager data for submission requirementsWork with management and the client on BEUDO verification requirements for compliance periodsAssist with third-party verifications for regulatory reportingAnalyze utility consumption against BEUDO baseline years to optimize building performanceMaintain and update compliance plans with current documentationData Management & Analysis
Assist in managing CMMS/Prism system to monitor building preventative maintenance activities, compliance requirements, and work ordersGenerate system reports and coordinate with Property Management teams and Building EngineersSupport with the accuracy and review of utility data entries (electric, natural gas, water, waste) in Energy Star Portfolio Manager and assist with identifying inconsistencies or missing data and coordinate immediate follow-upAssist with the quality control analysis on portfolio utility dataExtract and support the analysis of utility usage and cost data, preparing comprehensive analysis packages for the Operations and Property Management TeamSupport the creation of sustainability presentations showcasing key metrics with multi-year comparative analysesAssist with compiling and analyzing comprehensive annual utility performance dataOperational Performance Oversight
Support portfolio operational reviews, presenting month-over-month and year-over-year trend analysesDocument explanations for significant variances and highlight impacts from vacancies or tenancy changesFollow up on critical maintenance issues to ensure timely resolutionAssist with managing sub-metering systems, analyzing reports for accuracy and identifying anomalies in tenant consumptionMonitor Energy Star ratings for certified buildings and identify new certification opportunitiesAssist with coordinating water safety compliance reviews with consultants and operations teamsReview WELL Building certification maintenance and identify new certification opportunitiesFinancial & Strategic Planning
Partner with energy consultants to develop utility budgets and rate projectionsSupport utility procurement processes for natural gas and electricity at the portfolio levelCoordinate ASHRAE and energy efficiency audits with mechanical consultantsOversee ROI analysis of Energy Conservation Measures (ECMs)Support implementation of approved efficiency projectsQualifications
Required Skills & Experience
Bachelor's degree in Sustainability, Facility Management, or related field0-2+ years of experience in building sustainability, energy management, or related fieldExperience with Energy Star Portfolio Manager and building management systemsUnderstanding of energy benchmarking and reporting regulationsExperience with sustainability reporting frameworks (preferably GRESB)Advanced Excel skills for data analysis and visualizationExcellent written and verbal communication skillsPreferred Qualifications
Experience with utility sub-metering systems and tenant billingKnowledge of building mechanical systems and energy efficiency measuresFamiliarity with Cambridge BEUDO and Massachusetts LBER reporting requirementsExperience with decarbonization planning for commercial buildingsEstimated total compensation for this position:
65,000.00 – 75,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
