This project aims to support inclusive economic opportunities in the poor, rural areas of Mindanao (Davao Region and BARRM areas), in the Philippines and to increase the productivity of cacao farms and enterprises, particularly those led by women, while promoting gender equality and resiliency in communities vulnerable to conflict and climate change.
CONTRACT DURATION: Soon As Possible, with anticipated end date of 31 March, 2026.
JOB SUMMARY
The project aims to support inclusive economic opportunities in the poor, rural areas of Mindanao (Davao Region and BARRM areas) in the Philippines, and to increase the productivity of cacao farms and enterprises, particularly those led by women, while promoting gender equality and resiliency in communities vulnerable to conflict and climate change.
The Support Assistant is responsible for the admin support to the staff and office management to ensure smooth functioning of the office, premises maintenance, office equipment and office supplies. The Support Assistant will also provide driving services. This position will be based in Davao City.
MAIN RESPONSIBILITIES AND TASKS
Maintain office supplies, office printers need of toners and office stationary. Manage repair and maintenance of office equipment, including computers, and printers. Maintain inventory of office equipment and supplies. Support processing and managing routine administrative and procurement tasks, to contribute to the effective and timely management of Program team resources. Filing and archiving paperwork and documentation in the department. Support with Vehicle Management and Project Assets. Operates MEDA vehicles to transport office staff, programme staff, official visitors, and guests to support organizational activities.
Run errands for the project, programme or office, e.g. sending letters and messages, paying bills, bank transactions, and buying smaller quantities of office supplies; liaise with government offices. Completes the vehicle log correctly and conscientiously in accordance with MEDA standards. Reports any problems identified in the vehicle and also ensures all licenses and documents relating to the vehicle are renewed on time and as required.
Calculates monthly gasoline, oil and lubricant consumption for the daily cash fund and for forwarding monthly vouchers to cost accounting. Perform security risk assessments to the field and regularly review safety and security procedures with the Security Focal Point. Uses all available information (including current radio news on traffic conditions) to update daily knowledge of road conditions, current passable routes and locations, and shares this information with staff and other office driver. Assists other colleagues as needed in the project, programme or office, if there is no travel pending. Carry out other duties as assigned.
Qualifications
Graduate of secondary school level education.Minimum 5 years’ experience driving a company vehicle. Driving for an International Organization or NGO would be an added advantage. Possession of a clean and valid Professional Driving License is a condition for employment.
Ability to make good judgment on staff safety during travel.
Demonstrated ability to work effectively under stressful conditions.
General familiarity with travel and security issues in the project areas is desired. Ability to adjust to shifting travel and security circumstances.
Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
At least 2 years’ experience in a support assistant role with a private organization or NGO.
Ability to communicate with North America HQ staff, project visitors and guests in English and Filipino.
Languages
Basic written and spoken English and local language. Knowledge of another local ethnic languages would be an advantage.APPLICATION DEADLINE: June 15, 2025.
