GENERAL JOB DESCRIPTION
The Supply Chain Coordinator’s primary responsibility is to support the Buyers by submitting and tracking purchase orders with a specific focus on import orders. Creation and tracking of import POs includes coordination with Buyers, the FleetPride China team, international vendors, Transportation and our ocean freight forwarder, and the distribution centers.
DUTIES & RESPONSIBILITIES
Support buying team from PO creation date to receipt for an assigned set of vendors
Process PO confirmation emails to confirm PO's in the system manually, load tracking notes, and forward any PO issues to appropriate staff
Work with the buyer and vendor to align order size and transportation options (e.g. FCL, LCL, consolidation) to balance cost and speed
Ensure POs are booked with the ocean freight forwarder
Utilize reports from the ocean freight forwarders as well as vendors moving their own ocean freight to update expected receipt dates and identify issues for problem solving
Compare PI to PO to ensure accuracy, research and resolve any discrepancies before approving. Ensure final commercial invoices match proforma amounts and request payment if the vendor requires a deposit. Assist finance with any audits, research and/or cash projections.
Run open PO reports to send to vendors to get tracking or ETA for open PO lines
Run unconfirmed PO report to send to vendors to confirm receipt of PO
Identify process improvement ideas and work with the appropriate teams to operationalize
EDUCATION & TRAINING
High School Diploma or equivalent required
KNOWLEDGE & EXPERIENCE
3-5 years of administrative experience including experience working with purchase orders
Excellent data entry skills
Ability to communicate and build relationships with vendors and employees. Experience working with international teams is preferred.
Intermediate to advanced user knowledge of Microsoft Excel
Experience with AS400 software or other ERP systems is preferred

The performance of this position may require exposure to the warehouse areas where certain areas may require the use of personal protective equipment such as steel toed shoes and safety glasses. The primary environment is characterized by ambient room temperatures, lighting and traditional office equipment found in a typical office environment.
