The role holder will provide a proactive and comprehensive administration and support service to the D4 Program Area Office team as well as playing crucial roles in ensuring efficient and effective logistical and administrative support. The position is responsible for overseeing various aspects, including procurement, supply chain management, fleet management, asset management, administration, and general logistics aligning with Plan Policies and Guidelines, Applicants with the right to work in Fiji, Solomon Island and Papua New Guinea will be prioritised.

Supply Chain Accountabilities

 

Coordinate with project team to prepare Annual Procurement Plan Managed purchasing processes of goods and services Conduct market assessment and update supplier database.  Ensure documentations are complete and clear as part of payment processes Update procurement status tracking Establish Long Term Agreements to achieve efficiency and best value for money Protect the procurement activity from fraud, waste, and manipulation Ensure active participation in humanitarian response including updating the Minimum Preparedness Action Manage and regular updating of the Master Asset Database; coordinate with other offices and ensure that the asset database is properly maintained and regularly updated as per Plan policies and Operations Manual guidelines. Coordinate with project team for fleet planning, and mobilisation of vehicles based on programme needs

 

Business Support Accountabilities

Responsible for general services support, such as arrange accommodation for visitors, supervise janitors and cleaners and ensure office utilities and equipment are in place and functional Oversight of the front office operations that ensures a clean, hygienic and risk-free working environment in line with occupational health and safety guidelines. Prepare regular Payments for office repairs and maintenance, distribution of supplies, equipment and fixed asset as well as other clerical and administrative services such as photo-developing/copying, security services and housekeeping Maintain, update, and submit an office/guesthouse cost tracker and any other admin reporting Ensure the First Aid kits are stocked and replenished with genuine products

 

Technical Expertise, Skills and Knowledge

Manage multiple and work with distant colleagues to form a virtual efficient Operations team; Demonstrate understanding of Plan International admin and procurement policies and procedures. Solution-oriented and applies a con-do attitude Moderately tech-savvy  Bachelor degree in economic, financial, another relates filed.  At least 3 years’ experience in administration and Procurement functions in INGOs Able to work with little supervision in humanitarian emergency and development context Good interpersonal and team working skills Data management and reporting skills. Computer and System knowledge, SAP, MS word and excel Communication, facilitation, coordination and negotiation skills is required. Excellent language verbal and written/ speaking (English and Arabic). Understand contacts of humanitarian/ plan international values and mission/ mandates. Ability to manage competing priorities and expectations from internal and external stakeholders   and remain calm and resilient in the face of pressure. Experience in the use of enterprise resource planning (ERP) software such as SAP
