Summary:
Plans, supervisors, develops and provides leadership to employees in a 24/7 materials distribution area, covering clinical par inventories, Materials Distribution Center (Storeroom), Assigned offsite locations, equipment, linen services, CDM (Charge Master) functions for MDC and all Mailroom Functions. Recommends all equipment purchases, with total accountability for IV machines, code carts, ventilators, ENT, surgical procedure carts etc., including the retrieval, cleaning, restocking, distribution and tracking of equipment annually. Trains new section leaders and supervisors on department procedures incorporating the philosophy of Planetree and VIP. Develops and recommends policy, procedure and functional control for supply chain services including inventory and equipment management throughout the Organization. Incorporates quality, lean, safety and service philosophies for WCHN into the department functions and structure. Reports to the Director of Materials Distribution to provide timely coordination, direction and delivery of a quality product in support of patient care objectives.
Responsibilities:
1. Plans, supervisors, develops and provides leadership to employees in the Materials Distribution Center. Encompasses over 70 clinical and support department par inventory locations replenishing over 11.2 million dollars of supplies annually. Interviews, selects, orientates, trains, counsels, PEP evaluates and disciplines all assigned employees to ensure staff accountability, superior quality, efficiency, customer service and patient safety.
2. Directs and coordinates the delivery of medical supplies, equipment and services to all clinical areas. This includes accountability for the efficient usage of two programmable "robots" used 24/7 to deliver and pick-up medical materials throughout the Hospital with the goal of implementing additional delivery locations which will result in cost reductions and improved service.
3. Accountable for the Materials Distribution Center (Store Room) 24/7 operation, ensuring on-demand availability, timely distribution and delivery as requested through the Soarian Process, telephone or walk-in requests. Responsible for accurately and effectively assessing the needs of user-departments for supply, equipment and inventory requirements including service levels. Works with Department Managers to assess inventory levels and manage the flow and organization of inventory to the consumer departments.
4. Participates in the planning and development of the budget, goals and objectives of the Materials Management Department.
5. Identifies complex, problematic issues relating to the area and involves the Management Team to improve performance and reduce unnecessary resource utilization. Partners and collaborates with the Materials Distribution Supervisor and Director to ensure seamless operation of the materials' functions. Utilizes advanced problem-solving skills, including Lean and Six Sigma Strategies.
6. Oversees patient chargeable billing system, maintaining and requesting of CDM product codes, which drive the patient billing process. Supports and monitors Hospital-wide inventory management and charging systems such as Omnicell and DME Cost Savings Programs.
7. Oversees 2000 sq. ft., 24/7 Materials Distribution Center/Storeroom incorporating the replenishment, distribution and order fulfillment to all clinical departments using the Siemens, Soarian and Lawson Materials Management Information Systems. Directs and oversees the inventory process and the annual physical inventory containing over 1,100 SKUs with a value of $350,000. This role is responsible for cost-effective management of supply assets.
8. Serves as the liaison between Materials Department's end-users and the Inventory Control Coordinator, Materials System Coordinator and the Warehouse Prime Vendor to insure operational efficiencies and continuity of services of the Lawson Materials Management Information System.
9. Participates in various work-related committees to improve quality and enhance customer service and satisfaction. Chairs the Materials Department's Lean and Safety Committees and attends Hospital-wide Code Cart Committee with representation from Nursing, Pharmacy and Medical Staff.
10. Independently performs assigned responsibilities, maintaining Materials Management's Policy and Procedure Manuals, Hospital-wide equipment conversions, annual storeroom physical inventory and in addition, other operational projects delegated by Management covering the Danbury facility as well as other affiliated hospitals.
11. Oversees infection control practices for the Materials Management Department. Conducts scheduled in-service with the staff on proper procedures, changes in the process or control devices used.
12. The role of this position is responsible for supervisory oversight of the Equipment Program, Linen and Charge master function for the Materials Distribution Center (MDC).

17.Achieves the organization�s established expectations regarding quality service and team work in support of customers and their service needs.
18. Picks up and delivers supplies, equipment, materials, mail, business and finance materials, banking requirements, specimens and other related items in accordance with a required schedule, work assignment methodology or assignment of responsibilities through management.
19.Ensures through actions or by communication to management the proper working order and responsibility for safe and compliant operation of hospital vehicles including but not limited to repairs, maintenance, cleanliness, tire replacement, registration, emissions, insurance, other related activities, etc.
20. Performs vehicle inspections to ensure safety.
21.Documents activities in accordance with management requirements.
22. Fulfills all compliance responsibilities related to the position.
23. Performs other duties as assigned.
Other Information:
Required: Strong organizational skills; Independent Thinker with ability to take initiative to manage areas of responsibilities, developed management and leadership acumen. Strong people and interpersonal skills. Ability to communicate effectively to carry out Management Responsibilities, ability to lead team/dept. Analytic and Assessment Skills. Computer skills in MS Word, Excel and PowerPoint.
Minimum Experience: three years
Valid CT or NY Driver�s License (with clean driving record)
Desired: Strong mgmmt/superv exper in a Materials Management, Healthcare Setting including managing supply-related activities, inventory, cust serv, central supply or support services activities, equipment management or similar type of Lean/Sigma skills desired.
