Supervisor, Surgical Scheduling

The Department of Surgery has an exciting opportunity for a Supervisor, Surgical Scheduling position. The incumbent for Cardiothoracic Surgery serves as liaison between physicians, medical staff, and other departments to facilitate smooth scheduling and coordination of surgical procedures. Additionally, the Supervisor, Surgical Scheduling oversees surgical scheduling staff to ensure excellent patient service and scheduling accuracy.

CORE JOB FUNCTIONS                                                                                           

Supervises and trains surgical scheduling staff and prepares performance reports.

Creates and maintains daily schedule and completes edits.

Completes necessary paperwork prior to pre-op appointments and monitors cancellations.

Obtains referrals and authorizations.

Coordinates pre-op testing and ensures that results are available prior to surgical procedure.

Informs patients regarding activities that will take place during visit and provides pamphlets to appropriate surgical facility.

Informs patient of their financial responsibility and responds to and resolves any disagreements.

Ensures charge capture of billable services through the use of schedules, operative reports, and system inquiries.

Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS                                                                                        

High School Diploma or equivalent required

Minimum 5 years of relevant experience

Department Specific Functions

 Supervise scheduling staff, she / he will oversee daily activities of surgery schedulers, ensuring tasks are performed accurately and efficiently.  Will be responsible for on boarding and training, new scheduling staff and provide ongoing education on protocols, systems, and communication.  Will be responsible for performance evaluations and provide feedback/coaching as needed.  Create staffing schedules, ensure adequate coverage and handle time-off requests. Coordinate with OR, surgeons and departments, will attend weekly department meetings. Manage last-minute changes, handle cancelations and urgent cases. Ensure proper communication / education has been provided to patients on their surgical procedures. Will make sure CIV processes authorizations in a timely manner and will assist as needed when demand is high. Will ensure that any peer to peer needed is scheduled with providers.  Other duties as assigned.
