The job of Student Data Technician is done for the purpose/s of operating the student data information system; providing instruction and advice to system users; analyzing problems and issues related to the Student Information System and related software; coordinating usage among all system users; and producing a wide variety of statistical reports.
This job reports to Designated Administrator
Representative Duties
Essential Functions Administers system security {e.g. authorization, access, read only, passwords, etc.) for the purpose of regulating access to the student information system and ensuring confidentiality of student records.
Attends a variety of meetings, in-services, and workshops as assigned for the purpose of conveying and/or gathering information required to perform functions and maintaining current knowledge related to assigned duties.
Communicates with teachers, parents, administrators, and staff for the purpose of exchanging information on using the student information system accurately, securely, and efficiently.
Generates various reports and prepares printouts/reports for mailing {e.g. testing, school attendance, grades, etc.) for the purpose of attending to the needs of District administrators, teachers, and staff; and State and Federal agencies.
Identifies issues related to the student information systems and software applications for the purpose of resolving user problems.
Inputs data into student information system {e.g. student record updates, assessment records, attendance, scheduling, grading, transcripts, etc.) for the purpose of populating the system for the generation of reports and student accounting.
Instructs district and site staff on the use of student information system {e.g. new applications, upgrades, updates, data entry, etc.) for the purpose of ensuring proper and efficient use of system.
Processes student data for the purpose of generating reports for all requesting parties; verifying accuracy of data; and responding to inquiries.
Receives data from departments and schools sites for the purpose of populating the student information system.
Responds to user requests and inquiries for the purpose of instructing system user on the operations of the system and generating data reports.
Updates records in CALPADS for the purpose of maintaining the state's database as needed.
Verifies entered data for the purpose of ensuring accuracy and compliance with established guidelines; and correct errors as needed.
Marginal Functions Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Initial/Minimum Qualifications
Graduation from high school OR General Education Development (GED) equivalent. Two (2) years of job related experience. Any other combination of education, training, and experience, which demonstrates that the applicant is likely to possess the required skills, knowledge, or abilities, may be considered.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: methods and practices of operating an electronic data processing computer and peripheral equipment; data control procedures and data entry operations; operation of assigned software applications including the student information software system.
ABILITY is required to schedule activities; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined and similar processes; and operate equipment using a variety of processes. Ability is also required to work with a significant diversity of individuals and/or groups; work with a variety of data; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: operating a computer and assigned software applications; attending to detail; establishing and maintaining effective working relationships; communicating with persons with diverse technical knowledge and skills; maintaining confidentiality; and working with frequent interruptions.
Work Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. This job is performed in a generally clean and healthy environment.
