POSITION SUMMARY:
The Staffing Assistant will play a crucial role in supporting the recruitment processes by
managing various administrative tasks and ensuring the smooth operation of our staffing
initiatives. The Staffing Assistant will be responsible for assisting our recruitment staff with
candidate sourcing, screening, and onboarding, while also maintaining accurate records and
databases. They will serve as a point of contact for both candidates and hiring managers,
facilitating communication and providing updates throughout the hiring process. The Staffing
Assistant will collaborate closely with the team branch to ensure a positive teammate
experience.
DUTIES/RESPONSIBILITIES:
Administrative Support:
● Perform general administrative tasks such as printing, copying, scanning, and faxing
documents.
● Manage all applications efficiently through designated technology platforms.
● Create and maintain personnel files for new teammates, ensuring accuracy and
compliance with company policies.
● Assist with the onboarding process, including new hire paperwork and I-9 verification.
● Coordinate onsite recruiting events or open houses, ensuring smooth logistics and
candidate engagement.
● Any other duties assigned by Management.
Candidate Support and Communication:
● Welcome all visitors and job applicants into the office, providing a professional and
welcoming atmosphere.
● Answer incoming calls and respond to inquiries from candidates and visitors.
● Follow up and communicate frequently with candidates regarding application statuses
and stages of the hiring process.
Pre-Employment Processes:
● Ensure non-discriminatory practices in hiring, scheduling, and other staffing operations.
● Conduct pre-employment processes for new hires, including contacting and interviewing
applicants, and facilitating background checks, physicals, and drug screens.
● Communicate details of new hire orientation and ensure all necessary preparations are
completed.
Compliance and Legal Requirements
● Ensure compliance with applicable federal, state, and local laws, including the
Americans with Disabilities Act (ADA), Equal Employment Opportunity (EEO)
regulations, and other employment laws related to staffing and workplace
accommodations.
Technology and Equipment Proficiency:
● Use office equipment, including computers, client databases, mobile devices, and other
communication tools, to perform job functions effectively while handling proprietary
situations and managing sensitive and secure data with the utmost confidentiality and
compliance.
Work Experience
REQUIRED SKILLS & ABILITIES:
● Excellent verbal and written communication skills for client and candidate interaction,
both in person and over the phone.
● Strong interpersonal communication and influencing skills with the ability to build and
maintain strong client and candidate relationships, and develop long-lasting
relationships.
● Ability to effectively present information and respond to questions from managers,
clients, candidates, and the general public.
● Strong customer service skills, with the ability to handle customer complaints and
resolve issue
● Highly organized, with the ability to multitask and prioritize tasks effectively.
● Willingness to adapt to changing market conditions and client needs.
● Strong analytical and problem-solving skills, with the ability to use data to make informed
decisions, take direction, and execute a plan.
● Ability to read client orders and procedures.
● Ability to leverage recruiting methods to proactively drive candidates to the office.
● Agility to leverage all processes and technology tools productively.
● Proficient in Microsoft Office Suite, G Suite, and other relevant software applications.
● Strong understanding of the light industrial sector (manufacturing, warehousing,
logistics) helpful but not required.
● Familiarity with employment laws and regulations in the staffing industry is preferred but
not required.
QUALIFICATIONS:
Experience:
● 1-2 years of experience in a dynamic, fast-paced environment such as staffing, customer
service, restaurant, retail, or similar.
Education:
● High school diploma or equivalent.
