Staff Accountant
Job Title: Staff Accountant Key ResponsibilitiesAccounts Payable (Approximately 50%) + Ensure timely and accurate processing of accounts payable, including issue resolution, adjustments, voids, and credit memos. + Reconcile and compile corporate credit card transactions. + Post monthly prepaid postage entries in Sylogist. + Prepare monthly reports in accordance with the closing checklist. + Serve as backup for Amazon procurement activities, including purchase orders, payment processing, and budget tracking. + Process payments related to the Philanthropy Fund and donor designations. + Manage CI payments, track associated contracts, and respond to audit confirmations. + Prepare and file year-end 1099 forms. + Maintain accurate vendor records, including ACH information. + Regularly coordinate and resolve outstanding checks. + File annual unclaimed cash reports with the State of Connecticut. + Organize and maintain electronic records of all contracts and agreements. + Utilize DocuSign for tracking payment vouchers and approval signatures. + Process manual payments and expense reimbursements for consultants and volunteers. Grant Administration (Approximately 25%) + Oversee accounting for the Workforce Solutions and Strategic Alliance grant portfolios. + Communicate grant terms and conditions to relevant staff. + Monitor expenditures for compliance and allowability. + Support department 305 with grant kickoff meetings, invoice tracking, budget monitoring, and compliance. + Prepare and submit financial reports with supporting documentation per grant requirements. + Collaborate with project leads on timely grant closeouts and maintain all related documentation. + Ensure accurate reflection of grant restrictions and payments in the general ledger. + Maintain grant records and calendars in SharePoint. + Ensure compliance with record retention policies. + Administer new grants as assigned. Other Duties (Approximately 25%) + Reconcile monthly Webster credit card statements. + Enter payments and pledges in Stratus Live as needed. + Assist the Senior Accounting Manager with departmental BVA reports. + Support month-end entries and year-end audit preparation. + Participate in additional projects and collaborative initiatives as assigned. Qualifications + Bachelor’s degree in Accounting, Finance, or Business preferred. + 2–5 years of relevant business experience required. + 1–3 years of grant management experience preferred. + Strong analytical skills, including the ability to calculate and interpret financial data. + Ability to manage multiple priorities in a fast-paced environment. + High ethical standards and ability to maintain confidentiality. + Excellent written and verbal communication skills. + Strong interpersonal skills and ability to work with diverse groups. + Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams). + Exceptional attention to detail, organizational skills, and a proactive mindset.
