Sr. Operations Coordinator - Hult DubaiReports to Senior Director of Campus Life and OperationsThe OpportunityHult International Business School is seeking a Sr. Operations Coordinator to join our Dubai campus. The Sr. Operations Coordinator plays a critical resource role of campus and are responsible for driving Hult’s culture through building operations, events, programs, and communication. We know that every interaction, email, and an act of kindness matters – no matter how big or small. The ability to work independently leading your own projects while communicating amongst a highly collaborative team and maintaining a friendly, positive attitude at all times is critical.This role requires constant interaction with Hult and Education First stakeholders: students, staff, faculty, vendors, partners, and more. You will be able to represent extensive knowledge of Hult’s campuses, processes, and functions, which will allow you to provide the best possible experience for our community.Responsibilities may include, but are not limited to:Administrative- Develop, implement, and improve campus operational policies and procedures.- Serve as a member of the Campus Emergency Team, trained in First Aid, Fire Response, and Safeguarding procedures.- Oversee annual training for the campus team to ensure compliance with local regulations.- Act as the primary point of contact for local partners, including hotels, food and beverage establishments, gyms, and other businesses offering discounts to staff and students, while also being responsible for expanding these offers.- Manage the budget, track all expenditures, process purchase orders, and initiate the vendor registration process through Oracle.Cross-Functional Collaboration- Collaborate with the Senior Director of Campus Life and Operations on special planning initiatives and projects at the departmental, campus, and global levels.- Lead local initiatives in partnership with the People and Culture team to support staff well-being and monthly activities.- Collaborate closely with the Student Life team to ensure proper management of on-campus communication channels such as TV screens, posters, and stands in alignment with the company's branding.- Work closely with the transitions and onboarding teams when necessary to ensure smooth integration processes.Space Management- Manage space availability across three floors and coordinate the shared calendar.- Coordinate room bookings by collaborating closely with Academic and Faculty teams.- Manage pre-arrival data for the campus during intake periods.- Serve as the main point of contact on campus for sustainability initiatives and the annual collection of Net Zero data.Customer Service- Provide exceptional customer service at the front desk to staff, students, walk-ins, and other stakeholders.- Identify, track, and resolve medium-complexity issues and conflicts involving stakeholders, removing barriers as necessary and escalating when appropriate.Work experience, skills & competencies · Bachelor’s degree in operations management or related field, Master’s degree or MBA preferred· 3-5 years professional experience in management, operations, and/or leadership· Understanding of general finance and budgeting, including invoicing· Proficiency in Microsoft Office (Word, PowerPoint, Excel – including pivot tables and formulas)· Familiarity with Canva and other design tools· Ability to build consensus and relationships among staff, students, managers, partners, and employees· Excellent written and verbal communication skills as well as strong presentation and facilitation skills· Ability to work independently and manage multiple priorities· Energetic, enthusiastic, and proactive with a positive attitude· Strong interpersonal skills and ability to build relationships across diverse groups· Team-oriented with a collaborative and collegial approach· Willingness and ability to work out of office hours and weekendsMission statement  We strive to be the most relevant business school in the world.
