Sr. Manager, Payroll Operations
Operational Duties + Lead, coordinate, and assign work duties to team of payroll specialists responsible for core processing activities required to prepare for and execute each payroll cycle. This includes employee file maintenance, reviewing audit reports, processing special payment requests, and handling off-cycle (manual) payment requests. + Ensure the completion of payroll reconciliations and any differences can be justified. + Ensure that each stage of the payroll process complies with legislative and internal procedures. + Check and validate monthly payroll and social security declarations in compliance with regulatory changes. + Oversee the production, management, and distribution of all payslips. + Ensure established deadlines are met to deliver accurate and timely payrolls. + Work with business management to ensure Payroll receives paperwork and time data timely and accurately. + Ensure interfaces between payroll and other departments executed correctly, and that any errors are remedied + Conduct training sessions to ensure that team members are continuously trained in the different payroll, workforce management and other key applications. Internal Controls/Audits + Develop, document, implement, and comply with all defined internal controls. + Liaise with internal and external auditors to ensure the function meets its statutory audit duties. + Assist in responding to all internal and external audit reviews. Procedural Documentation + Ensure standard operating procedures (SOPs) fully developed and updated, as needed. Ensure each team member is appropriately trained, and refreshed on recurring basis with any changes. + Ensure established policies and procedures are followed by the Payroll team members. Business/Employee Inquiries + Ensure personnel respond to and close all employee inquiries/cases related to payoll in a timely manner. + Align SLAs with global standards. + Identify trends in cases requiring tier-2 payroll support and work with ESC personnel to assess whether certain activity could be handled by tier-1 support. Reporting/Metrics + Implement and effectively track SLA’s and key performance metrics that support continuous improvement of the service delivered utilizing existing technologies and processes + Manage the monthly payroll forecast files, ensuring stakeholders get the info required to forecast spend + Providing management information including gross to net and reconciliation reporting Strategic Duties + Ensure appropriate plan in place for business continuity for employee absences, local emergencies, etc. to minimize impact on payroll activities and employee payments + Work collaboratively and in partnership with other managers and leadership teams in HR and Finance, to ensure that the transactional services are delivered in a connected way to give a seamless service to all customers + Provide insight and recommendations to the business on upcoming changes to payroll legislation. + Management of Third Parties provider relationships (i.e. banks, payroll vendor, T&A vendor) + Liaise with the payroll software provider and ensuring that all software upgrades are tested and installed correctly Leadership + Manage and supervise the staff under your responsibility: organize working methods/conditions, give work instructions, manage time and absences, manage conflicts, provide guidance and propose sanctions. + Ensuring that internal rules are disseminated and applied: policies, internal regulations, charters, code of ethics, discipline, health and safety, procedures and operating methods, company agreement, etc. + Leading the team under your responsibility: taking part in recruitment, annual development interviews, professional interviews, leading working groups, proposing career and salary development, etc.". + Coach/Train staff for development and growth opportunities.
