Position Purpose: 

Support Operations in achieving the departmental objectives of expense control, sales and profit enhancement, improving customer service, and enhancing operational processes through the supervision of analytical tools and roles within the department, including a focus on store staffing levels, effective labor planning, and inventory management.  Oversees all routine reporting efforts within the Operations team, as well as ad hoc analytic and reporting requests and projects.

Duties and Responsibilities:

Analytics, Reporting & Expense Management

Interface with senior level operations management to determine analytic and reporting needs.  Create documentation regarding needs, data sources, methodology, and functional vision for the product while meeting the overall objective(s).

Identify analytics and reporting efforts to support target areas of the business and affect change in behavior at various field operations levels.  Lead the Operations Analysis team members through the creation of a reporting vision including data storage definition, appropriate reporting mechanism, and aesthetic layout of the deliverable product.

Identify opportunities of internal support to Continuous Improvement, Loss Prevention, Pet Services, Visual Merchandising, and other business units.  Prioritize analytical requests based on business needs and potential benefits, and guide the analyst team to provide decision support tools to business unit owners.

Automate routine processes, reports, and procedures for efficiency and effective communication of data to recipients.

Effectively communicate with the Business Analysis team in articulating functional vision for automated reporting efforts.  This includes producing the business case statement for prioritization, the creation of coherent functional specifications, and the appropriate documentation of data definitions, service level agreements, and troubleshooting approaches.

Ensure that ongoing reporting efforts maintain an acceptable level of accuracy and timely, punctual delivery.

Create and maintain procedures for routine reporting responsibilities of subordinate team members.

Provide a sufficient level of end user support when necessary, including the creation of instructional materials, introductory news postings, and ongoing customer service by phone or email.

Identify expense areas of opportunity, primarily in Store Payroll.  Determine a plan of action for self and subordinates to implement for expense management and/or process efficiencies.

Act as corporate liaison to Finance and Accounting departments for store expense research and questions.

Provide training to subordinates, store personnel, and field management on expense control through telephone, email and oral presentations.

Supervise the end user support of various internally-developed and third party software solutions.

Collaborate with the Store Communications team regarding the task labor process for the entire organization, and plan and manage discretionary payroll hours to remain within budgetary constraints.

Initiate and support extensive projects which target store hiring decisions, store position control, effective staffing, and labor scheduling.

Manage the budgeting, forecasting, and tracking process of Store Operating Expenses, Store Payroll, New Store Expenses, Remodel Store Expenses, and department G&A expense and capital accounts.  Provide detail for variances to budget/forecast to Finance and Accounting, mitigation plans as needed for expense management, and identify areas of risk and opportunity.

Budget, monitor, and intensively manage the performance of new stores and remodels, from an expense standpoint.

Manage the center store incentive plan including setting individual store incentive targets that conform to the company’s overall financial goals, performance calculation, and ad hoc analyses as needed.

Inventory Operations

Responsible for leading the Inventory Operations team in a manner which supports overall company goals to optimize in-stocks and inventory productivity through the management of the store physical inventory and companion animal physical inventory processes.

Prioritize requests and inquiries through the Inventory Operations team from field partners regarding inventory management.

Ensure internal and external accounting accuracy and compliance for the physical inventory process, understand and explain variances to expected performance, and create systems and processes to mitigate risk.

Implement and enhance the Inventory Operations team’s systems and tools for diagnostic analytics and reporting.  Utilize analytical techniques to identify trends and opportunities by analyzing geographical, category, and other attributes to enhance inventory accuracy and performance.

Nature of Supervision:

After initial training period, employee is expected to operate in a self-directed capacity to support Operations objectives.  Interacts with Director upon completion of project milestones.  Will use discretionary judgement when trying to achieve company financial goals by analyzing the impact of proposed operational changes, working with appropriate persons to develop the best approach, and implementing the change.

Supervisory Responsibility:

Will directly supervise the group of Sr/Operations Process/Optimization Analysts, and the Manager, Inventory Operations role.  Will indirectly supervise other department personnel to implement cost savings programs, and ensure accurate and timely financial information.

Education/Experience

The minimum education required for this position is a BA or BS degree in Business, Finance, or Management, and 7 years’ experience in Retail Operations, Finance/Accounting, or business analyses, with at least 3 years of people management experience, preferably in a corporate setting.  An MBA or Masters degree in Finance is preferred.

A minimum of 5 years’ experience in store operations, analytics, or implementing cost reduction programs, proven logic-driven problem solving ability and extensive computer software skills working with Excel, Word, PowerPoint, Access, & MS Project are required.  Familiarity with basic accounting rules and terminology in the corporate environment is required.  Excellent organizational and project management skills as well as strong interpersonal communication and presentation skills are required.  Prefer 5 or more years of experience, including the use of EDW/Microstrategy, SQL Server Reporting Services or similar enterprise reporting system.  Must be able to adapt to rapidly changing priorities.

Work Environment

The majority of work is performed while seated indoors at a computer, but minor travel to store locations is required (5%).
