Sr. Facilities Coordinator

Shift: Monday–Friday, 7:00 AM to 3:30 PM


 

Job Summary

Summary: Responsible for assisting in the daily management of an assigned facility or location and proving technical expertise to other peer coordinators. Also, responsible for monitoring vendors for performance adherences, ensuring safety and security, performing weekly facility inspections and coordinating special projects.
Essential Functions-
-Provides technical expertise and leadership to other peer coordinators in com
-Under supervision of the Facilities supervisor monitors and updates capital projects and facilities related projects, schedules, work hours, and follow up activities with multiple vendors and departments.
-Facilitates meetings where appropriate and distributes minutes to all project team members. Schedules meetings, interviews, conferences, and activities as needed by operational leaders.
-Reviews contracts and proposals with Facilities Supervisor. Keeps track of all contracts and follows proper MGB contract approval process.
-Orders and Organizes all Nitrogen and Oxygen tank deliveries for department.
-Manages Purchase Order processing: categorizes and oversees all purchase orders and equipment/material deliveries.
-Approves and manages timekeeping for the department as needed and or services as a backup.
-Coordinates weekend work and communications to relevant parties
-Handles general administrative responsibilities. Responds timely to inquiries, email, calendar requests and activities related to departmental operations.
-Oversees facilities emergency equipment inventory and supplies inventory, including radios, pagers, ipads, etc.
-Collaborates with multiple departments and the EOC/LS Compliance Specialist to implement methods to validate continuous compliance with the Environment of Care (EOC) and Life Safety requirements though the EOC rounding.
-In collaboration with the Department Managers/Directors updates and maintains department specific policies and procedure manuals as required by applicable regulatory agencies.
-Assists in the coordination of scheduled shutdowns or preventive maintenance work. Reviews shutdown request forms and coordinates meetings with all applicable departments, including clinical and Infection Control.
-Under supervision of the Facilities Supervisor manages small scope facilities related projects, including regulatory repairs and deficiencies, utilizing staff and or vendors and materials in an efficient manner.
-Arranges training and in-services general maintenance employees.
-Assists with the management of the CMMS system and updates the preventative maintenance program for all trades. Inputs new equipment and retires old equipment as necessary.
-Maintains and updates all capital and operating budget trackers.
-Manages and maintains vendor lists and open items list.
- Responds to emergencies as needed and coordinates responses with multiple vendors.
- Handles highly confidential information at a high level.
- Assists with day-to-day facilities operations as needed.


 

Qualifications

Education
High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred

Experience
Facilities Maintenance Experience 2-3 years required

Knowledge, Skills and Abilities
- Familiarity with general building maintenance and safety requirements.
- Ability to effectively communicate with peers, co-workers and service providers.
- Good time management and organizational skills.
- Strong project management skills.
- Ability to provide technical expertise and guidance to peers in complex situations.
- Solid computer skills and familiarity with Microsoft programs.
