Sr. Executive Assistant
Description We are looking for a highly skilled and detail-oriented Sr. Executive Assistant to join our team in New York, NY. This is a contract position within the financial services industry that requires exceptional organizational abilities, discretion, and a proactive mindset. In this role, you will provide vital support to senior executives, manage administrative tasks, and assist with strategic finance projects. Responsibilities: • Provide comprehensive administrative support to senior executives, including managing calendars, arranging travel, processing expenses, and organizing digital files. • Prepare executives for meetings and deadlines by ensuring they have the necessary materials and background information. • Draft, edit, and distribute sensitive and confidential correspondence, reports, and presentations. • Coordinate communication with internal and external stakeholders, including Board members and senior leadership, while maintaining professionalism and confidentiality. • Organize and maintain governance materials such as Board agendas, minutes, and resolutions, ensuring accuracy and secure storage. • Support finance-led initiatives like audits, tax planning, financial reporting, and operational metrics development. • Assist in the coordination of post-merger activities, policy documentation, and internal training material preparation. • Collaborate with other executive assistants to streamline processes for management and Board meetings. • Plan and execute team-building activities and events that enhance department culture. • Track deliverables and follow up on action items to ensure timely completion of executive commitments. Requirements •5+ years experience supporting a CFO with Industry experience needed within Banking, Finance, PE, FinTech, SaaS, or Tech/IT • Expertise in calendar management, travel arrangements, and expense reporting. • Proficiency in Microsoft Office 365 tools, including Word, Excel, Teams, PowerPoint, and Outlook. • Strong verbal and written communication skills with exceptional attention to detail. • Ability to handle confidential information with sound judgment and discretion. • Demonstrated capability to multitask and remain calm under pressure in a fast-paced environment. • Familiarity with tools like Workday, Concur, Sherpany, and Docusign is preferred. • Collaborative and independent working style with excellent problem-solving abilities.
