About the role: AIG is seeking an Senior Executive Assistant to support the Global Head of Litigation and Operations Legal group. We are looking for an organized self-starter, who can help run our day-to-day office functions for the department. In this role, you will have the opportunity to work closely with the legal leadership team and gain exposure to nearly every facet of the company. If you work well in a fast-paced, team-oriented environment, and enjoy getting down in the trenches to get even the most detailed tasks done, then this is the role for you. The Senior Executive Assistant position, based in AIG’s headquarters in New York City, is a vital position to assist the key members of both the Litigation and Operations Legal teams as productive as possible. This person must be a highly polished professional with excellent interpersonal skills and a sense of urgency to get things done. This role will interact with all levels of employees and all departments. The position will provide administrative support to multiple lawyers, who require general administrative assistance as well as analysis, reporting, and tracking of activities. Responsibilities: + Calendar maintenance and scheduling meetings/conference calls + Answer and screen incoming calls in a professional manner while providing assistance and obtaining accurate information. + Taking detailed phone messages, in-person requests, etc., and relaying them in a timely manner. + Handling/processing incoming mail/send correspondence/packages. + Making and or changing travel arrangements, both international and domestic. + Managing confidential, time-sensitive internal and external communications. + Composing clear written communications from ideas and concepts as articulated by the applicable leader. + Basic understanding and analysis of critical and confidential information which can then be input into Excel spreadsheets, PowerPoint presentations, SharePoint, etc. + Create and submit expense reports on behalf of executive team on a timely basis. + Support procurement process + Perform other administrative functions to support the team and the business as requested, including ordering office supplies, catering, site items, etc. Qualifications: + Typically, 10+ years of experience as a senior-level administrative assistant or applicable office management function. + Bachelor’s Degree strongly preferred. + Must be experienced and can navigate with ease Microsoft O365, Powerpoint, Concur, Ariba, and other legal department management tools. This includes being proficient in Excel and be able to work with spreadsheets, and using Powerpoint to create presentations organization charts. + Organization. Like most companies, there’s a lot to do, and you’ll be wearing a lot of hats. Staying impeccably organized will help you achieve your daily goals, and surmount the bigger goals, too. + Discretion and Trust. Maintaining confidentiality and building trust at all levels is critical. You will have access to information that isn’t meant for everyone’s eyes. + Verbal and Written Communication Skills. You will be communicating with senior management on behalf of our legal leadership team. Representing us with intelligence and integrity is a must. + Works well autonomously and under pressure. As the new go-to person in the administrative function, the team will be submitting requests that may need to get done quickly and without too much guidance. The ability to prioritize while working both independently and collaboratively is critical. You must have strong organizational, project management and problem solving skills with excellent multi-tasking abilities. For positions based in NYC, the base salary range is $70,400 - $89,000 and the position is eligible for a bonus in accordance with the terms of the applicable incentive plan.
