The Department of Human Genetics is currently seeking a Sr. Clinic Assistant to work in Miami. The Sr. Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.

CORE JOB FUNCTIONS

Explains HIPPA to patients and obtains signatures.

Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.

Tracks pending records to ensure delivery prior to clinic visits.

Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.

Travels within the facility and campus to retrieve records, films, or CDs.

May collect and prepare specimens.

Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.

Assembles, completes, and processes patients’ charts.

Assists with ordering, receiving, distributing, sorting, and storing supplies.

Reports suspicious or unusual incidents to appropriate supervisory personnel.

Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Qualifications                         

The Sr. Clinic Assistant (Genetic Counseling Assistant) works directly with genetic counselors to assist with patient care and follow up.

Department Specific Functions                                                                                            

Assist general/prenatal genetic counselors with administrative tasks, including receiving phone calls, sending faxes and emails, and scanning and copying documents.

Tracks pending genetic tests to ensure delivery prior to clinic visits.

Checks clinic schedule to make sure appropriate patients have been scheduled and inappropriate patients are directed to the clinic staff to be scheduled appropriately.

Communicate with patients, as necessary, related to clinical care.

Call laboratories regarding patient sample status and genetic test coordination.

Coordinate paperwork for genetic testing

Assist with creation of patient education materials and patient-centered educational events.

Attends weekly staff educational meetings.

Communicates to the appropriate genetic counselor or clinical staff if difficult or unable to obtain pertinent records.

Assists with ordering, receiving, distributing, sorting, and storing genetic testing kits.

Maintain database/track patients and genetic testing and communicate findings with Genetic Counselors. This will include opportunities to publish abstracts and contribute to university research.

Assist in obtaining insurance coverage for genetic tests, including writing of letters of medical necessity, and providing insurance companies with appropriate materials.
