The Coordinator is responsible for managing and providing administrative support to the Vice President, and Brand Team Leads (sales and marketing). Responsibilities include, but not limited to, heavy calendar management, coordination of complex meetings, reconciling expenses, and making complex travel arrangements. The coordinator exercises considerable judgment and initiative with the ability to influence team members and understand key relationships. Ensure sensitive data is held in confidence.
A typical day may include the following:Proactive in managing calendars for leaders using a thorough understanding of department and leadership priorities. Ability to anticipate the needs of leaders and teams to manage and problem solve when scheduling conflicts occur.Coordinate virtual field sales calls and marketing trainings.Arrange and coordinate heavy travel logistics for VP and Marketing leads which may include conference registration, travel and meeting itineraries, air, hotel and ground transportation, etc.Reconciles expense reports for Vice President and Marketing leads.Actively manages customized email distribution lists. Manages and updates content on department’s SharePoint site.Onboard new, in-house employees (includes ordering preferred laptop and peripherals, seating assignment, etc.).Responsible for onsite meeting planning, including but not limited to, catering, audio visual requests, IT, preparation of meeting rooms.The role may be for you if:Demonstrates strong organizational skills and ability to understand VP and department priorities.Highly independent and shows advanced judgment and problem-solving skills.Comfortable leading projects.Skillful written and verbal communication skills are essentialAbility to interact and collaborate with team members, cross-functionally and across all levels of employees and management while maintaining confidentiality.Quick learner who can shifts gears with ease and make good decisions during change or ambiguity.To be considered for this role, we need you to have a AS/AA degree and 5+ years of relevant work experience. We also expect you to be in the office 4 days a week.
