Sr. Administrative Assistant
Description We are looking for a Sr. Administrative Assistant to join our team in Washington, District of Columbia. This Contract-to-Permanent position will provide high-level administrative and project support to the Chief Financial Officer and the finance department. The role requires a proactive individual who excels at managing workflows, coordinating communication, and ensuring seamless operations within the department. Responsibilities: • Deliver executive-level administrative support to the Chief Financial Officer, including managing schedules and correspondence. • Prepare detailed presentations, spreadsheets, and reports using advanced technical skills. • Plan, coordinate, and execute specialized projects to support departmental objectives. • Identify opportunities to improve administrative workflows, procedures, and forms, and implement these enhancements. • Act as a liaison with internal staff, executive leadership, board members, and external consultants to maintain strong, detail-oriented relationships. • Handle credit card activity for the department, including monthly reconciliations and expense tracking. • Coordinate scheduling and facilitate communication for Board members, particularly within the Audit and Finance Committees. • Draft and finalize routine correspondence, internal memoranda, and other written communications for review and signature. • Oversee office supply inventory and collaborate with procurement to meet supply needs efficiently. • Conduct research and compile data to support departmental initiatives and decision-making. Requirements • Proven experience in administrative roles, preferably supporting executive leadership. • Strong proficiency in calendar management and scheduling tools. • Expertise in preparing well-structured documents, including presentations and spreadsheets. • Ability to manage travel arrangements and coordinate logistics for meetings and conferences. • Familiarity with financial processes such as credit card reconciliation and purchase requisitions. • Excellent communication skills, both written and verbal, with the ability to interact with diverse stakeholders. • Detail-oriented and highly organized, with the ability to manage multiple tasks simultaneously. • Skilled in using office technology and software to enhance efficiency and productivity.
