Sr Planner, Conference Production Project Management

Gartner is searching for a Senior Planner to work on Gartner’s global Corporate Events & Incentives conferences. As the Senior Planner, you will provide administrative, logistical and organizational support in delivering the planning, pre-production, and on-the-ground execution of multiple complex conferences and projects within Gartner’s Production Experience & Marquee Content Team. 

A successful candidate will thrive in a quick moving environment with keen attention-to-detail.  In this role, the Senior Planner will provide customer-centric project management and overall support at the highest level possible to the team. An understanding of live conference planning, conference production and conference project management is essential. Understanding of the Audio Visual function within conferences is a plus.   The ideal candidate must have strong organizational skills, ability to work across multiple teams and cultures, impeccable communication skills, and be energetically driven to meet the needs of our team. This exciting career opportunity will provide you with challenging assignments and travel opportunities. 

What You Will Do:

Support the production, creation and delivery of Sales Meetings, Town Halls, All Company Meetings, Incentive Events, and other conferences, leading the overall event from concept to completion, for both in-person and virtual experiences.Support video asset creation, presentation graphics, backgrounds, etc.Collaborate with key stakeholders, from multiple departments, to support internal/corporate events and keynotes from inception through to deliveryLeverage best practices to lead live conference content production planning processesAttend/support pre-production and onsite global meetings, which may be out of normal business hours at timesEffectively engage at every level of the organization and across multiple departmentsGuide key stakeholders through the process and become their trusted partnerCommunicate with stakeholders globally and confirm all requirements for onsite delivery assets including staging, scenic, graphics, audio, animation and all creative media componentsPrepare internal and external written briefing documents for clients, vendors, and team implementationUnderstand and uphold Gartner’s brand with all assets created, which includes managing creative partners and vendors accordinglySupport the creation and management of all show documents (i.e., production schedules, shoot schedules, show flows, etc.) while knowing how and when to flag at-risk milestonesPrepare and manage rehearsals and rehearsal schedules while thoroughly understanding the requirements of each venue and teamPrepare routine correspondence and forms, internal and external briefing documents, Logistics arrangements, on-site expectations, script management instructions and others as neededCoordinate pre-event and on-site logistics including rehearsal scheduling, rehearsal logistics, AV setups, crew catering, and other on-site activities as requiredPartner with and communicate with internal and external partners such as AV agencies, creative agencies, speaker/performance coaches, freelancers, writers, etc.Assist with budget reconciliation and tracking in coordination with management and finance including collecting and processing vendor invoicesMaintain detailed documentation and reports with feedback, wrap-up notes and debrief reportsProactively engage with team to pursue process improvementsHighly skilled in handling multiple complex and concurrent projectsSupport other Gartner Destination Conferences and events as requested

What You Will Need:

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 54,000 USD - 84,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
