Job Description

AECOM is seeking a highly organized, enthusiastic, and culturally sensitive Volunteer Coordinator to join our team in Peru. Reporting to the Project Manager, the Volunteer Coordinator will be responsible for the full lifecycle management of a diverse volunteer workforce crucial to the success of the multinational sporting event. This role requires exceptional interpersonal skills, a proactive approach, and the ability to thrive in a fast-paced, high-pressure environment.

The responsibilities include but are not limited to:

Volunteer Program Development & Planning:Collaborate with event organizers, AECOM project teams, and key stakeholders to define volunteer roles, responsibilities, and requirements across various functional areas of the event (e.g., spectator services, logistics, accreditation, media, athlete support).Develop comprehensive volunteer recruitment strategies, including outreach plans, marketing materials, and online application processes.Establish clear volunteer policies, procedures, codes of conduct, and communication protocols.Determine volunteer numbers needed for each functional area and shift.Recruitment & Selection:Lead and execute volunteer recruitment campaigns, leveraging various channels (e.g., online platforms, universities, community organizations, social media).Manage the volunteer application process, including screening, interviewing, and background checks (as required).Ensure a diverse and inclusive volunteer pool that reflects the local community and the international nature of the event.Training & Onboarding:Design and deliver engaging and comprehensive volunteer training programs, covering event specifics, roles and responsibilities, customer service, safety procedures, and cultural awareness.Coordinate logistics for training sessions, including venues, materials, and trainers.Oversee the onboarding process for all selected volunteers, including uniform distribution, credentialing, and site orientations.Scheduling & Deployment:Develop and manage complex volunteer schedules, ensuring adequate coverage for all event shifts and areas.Utilize volunteer management software to optimize scheduling and communication.Coordinate volunteer deployment to various event venues and operational areas.Volunteer Management & Support (Pre-Event & During Event):Serve as the primary point of contact for all volunteer inquiries and concerns.Provide ongoing support, guidance, and motivation to volunteers.Address and resolve volunteer issues, conflicts, and performance concerns in a timely and professional manner.Implement recognition and appreciation programs for volunteers.Monitor volunteer performance and provide constructive feedback.Logistics & Resources:Coordinate with operations and logistics teams to ensure volunteers have necessary resources (e.g., food, water, rest areas, transportation support).Manage volunteer accreditation and access control.Post-Event Activities:Oversee volunteer demobilization and thank-you processes.Collect feedback from volunteers and stakeholders to identify areas for improvement.Prepare post-event reports on volunteer program effectiveness.Cultural Sensitivity & Local Engagement:Demonstrate a strong understanding and respect for Peruvian culture and customs.Foster positive relationships with local communities and organizations.Ensure all volunteer communications and materials are culturally appropriate and accessible.

Qualifications

Minimun Requirements:

HS + 4 YORE or demonstrated equivalency of experience and/or education in volunteer management, event coordination, or human resources, preferably within a large-scale event or international context.Demonstrated experience in recruiting, training, scheduling, and managing large groups of volunteers.Experience working in Peru or Latin America is highly desirable.Fluency in Spanish (written and spoken) is essential.Ability to travel to various event venues within Peru.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Additional Information

Preferred Requirements:

Bachelor’s degree in human resources, Event Management, Communications, or demonstrated equivalency of experience and/or education with +4 of experience in volunteer management, event coordination, or human resources, preferably within a large-scale event or international context.
