The People Services Advisor supports HR operations in Japan, working in close collaboration with global and regional HR teams, including those based in Melbourne. The Advisor ensures efficient and compliant execution of board range of employee lifecycle activities. As a trusted HR contact in Japan, this role contributes to process optimization and the consistent application of HR policies and practices.
Main responsibilities will include, but are not limited to, the following:
Support HR Operation activities in Japan for the employee life cycle by providing high touch customer service that meets expected service levels and business performance goals, including contract management, employee data / file management, time and absence, benefits coordination.Liaise with and co-ordinate activities of third party providers such as benefits registration/withdraw where local support is required ensuring optimal delivery against the service level agreement. Ensure efficient and seamless co-ordination between HR Operation activities between the local market and the Capability Center. The individual will provide local insights into market expectations from a cultural and legislative perspective to support HR operations.Have an excellent understanding of markets specific employment legislation and offer advise on how this applies to various situations for our workforce and processes. They ensure accurate policy representation in interconnected systems/processes and directly contribute to develop end-to-end processes which support HR operationsGuide the employees and the managers to available resources, eg toolkits, SOPs, process details or training materials, as appropriate, and explain these to them as per needed and being relevant to their region including the applicable Global policies Co-ordinate and provide data for external and internal audits, including completing external forms and data files.Act as a local point of contact for the execution of local documents to support operations. Identify and raise continuous improvement of processes and highlight where there are opportunities to eliminate activities which are no longer required or do not add value. Works collaboratively with the team to share ideas and contribute to drive improvements and consistency of execution for key HR processes.Skills required:
General Knowledge and understanding of the Japanese HR context environment in order to execute tasks with knowledge.Must possess excellent co-ordination skills, strong administration and organizational skills, with a high level of attention to detail and the ability to manage high volume of activity. Strong ability to handle, cross check and format large volumes of data accurately in electronic and paper format. The ability to work independently whilst ensuring key stakeholders are informed of critical activities enabling a co-ordinated approach to activities. Excellent Microsoft Office skills, particularly Excel. Demonstrate professional maturity to be able to constructively challenge business processes and behaviors. Have a strong discipline to work within business processes and framework. Strong interpersonal skills with the ability to build strong relationships in a highly matrixed organization whilst being able to constructively challenge the status quo. Strong competency to manage and navigate ambiguity whilst still delivering on key objectives. Natural ability to complete and deliver tasks in an accurate and timely and comprehensive manner.Results orientated, with a can do attitude to resolve and deliver resolution to all tasks, with a strong ability to follow up on outstanding items until complete. Customer and service orientated attitude.Embrace and support teamwork with strong collaboration.The capability to train and share knowledge with colleagues on key processes, activities and policies. Excellent communication skills, with the ability to interact with clients, providers and the business in an optimum way.Ability to handle sensitive and confidential material/ information.Strong written and verbal communication skills, with the ability to communicate succinctly and accurately.
