Job Overview: The Health & Welfare Benefits Specialist is responsible for coordinating health and welfare benefit plans for active and former employees. This role involves ensuring compliance with plan documents, relevant regulations, providing guidance to former employees, and working closely with P&C and finance teams to optimize benefits programs. The ideal candidate will have a strong understanding of the healthcare landscape, excellent communication skills, and a commitment to helping employees achieve their retirement goals.
Key Responsibilities:
Ensure compliance with federal, state, and local regulations related to benefitsStay updated on industry trends and changes in health & welfare benefit regulationsProvide guidance and support to employees regarding benefit plan options, enrollment, and claims resolutionRespond to employee/retiree inquiries and resolve issues related to health and welfare benefitsResolve employee/retiree escalations as neededServe as the primary liaison with benefits vendors to address and resolve issues as they arise.Maintain and update HRIS records; troubleshoot data discrepancies and process breakdowns.Conduct root cause analysis and implement corrective actions in collaboration with internal and external stakeholders.Review and validate eligibility files to carriers and resolve discrepancies.Conduct regular audits of benefits data including enrollment, eligibility, and premium contributions to ensure compliance with plan documentsMonitor the accuracy and timeliness of benefits enrollment and termination data transmissions to providers.Assists with annual compliance-related materials and notifications to Health & Welfare Team, including but not limited to Medicare Part D notice, 5500s, PCORI, and ACAPrepare reports related to benefits usage, costs, and compliance.Develop subject matter expertise in the areas of benefits administration and HR compliance to ensure continuous process improvement of programs, standard operating procedures, and resourcesSupport in departmental audits such as the VEBA, and internal auditsParticipate in Ad Hoc projects and perform other duties as requestedCore Competencies:
Regulatory Compliance: Familiarity with federal, state, and local regulations governing health & welfare benefits.Communication Skills: Excellent verbal and written communication skills to effectively explain complex retirement concepts to employees.Analytical Skills: Strong analytical abilities to assess retirement plan performance and identify areas for improvement.Customer Service: Commitment to providing exceptional support and guidance to employees.Attention to Detail: High level of accuracy in managing and auditing health and welfare plans.Team Collaboration: Ability to work effectively with HR, finance, and other teams to achieve common goals.Job Requirements:
Minimum of 3-5 years of experience in benefits administration or a related role.Certification in benefits (e.g., Certified Employee Benefits Specialist (CEBS) or Group Benefits Associate (GBA) designation) is preferredProficiency in HRIS and benefits administration softwareStrong understanding of ERISA, IRS, and DOL regulations related to health and welfare benefit plans.Excellent organizational and time management skillsAbility to handle sensitive and confidential information with discretioAnnual Base Salary Range: $83,000 - $110,000
