SOMA - Clinical Affiliation Agreement/Student Health Records Coordinator

A.T. Still University's School of Osteopathic Medicine in Arizona (ATSU-SOMA) is seeking a full-time, non-exempt Clinical Affiliation Agreement/Student Health Records Coordinator. This position is responsible for the administrative oversight and management of the Student Health and Immunization Management System to meet ATSU University and clinical site requirements, and the procuring and maintaining of Affiliation Agreements for all ATSU-SOMA clinical sites.


Duties & Responsibilities:

Stay current with all ATSU University health and immunization requirements and any additional requirements from community partner sites or clinical training sites.Provide guidance and support to students in uploading required health and immunization documentation into the designated data management system, ensuring accuracy and completeness.Develop and deliver training materials and sessions for CED team members and Regional Education Coordinators (RECs) to ensure consistent practices and expectations related to student compliance with health and immunization requirements. Proactively monitor student compliance with health and immunization requirements by managing and auditing records.Regularly run and analyze reports to identify upcoming expiration dates for health requirements or immunizations and notify students of necessary actions in a timely manner.Collaborate with an assigned Clinical Liaison to respond to inquiries from students, faculty, and staff regarding immunization and health requirement processes.Collaborate with the Director of Clinical Education, Associate Dean of Clinical Education, and Dean to provide data-driven reports and compliance summaries upon request.Maintain confidentiality of all student health information in accordance with FERPA, HIPAA, and University policies.Coordinate with clinical education sites, community partner sites, and internal stakeholders to initiate, revise, and finalize Affiliation Agreements and Letters of Agreement necessary for clinical training.Ensure all agreements are properly reviewed by ATSU-SOMA legal counsel and that required revisions are made in accordance with University standards.Prepare and distribute final documents for signatures, tracking their progress, and following up with appropriate parties to ensure timely execution.File executed agreements using a standardized naming convention and maintain a well-organized digital database of current and historical agreements.Monitor agreement expiration dates and initiate renewals in advance to maintain continuity in clinical training placements.Understand and apply Commission on Osteopathic College Accreditation (COCA) standards related to Affiliation Agreements to ensure compliance in document content and management.Prepare regular and ad hoc reports detailing the status of Affiliation Agreements for review by the Director of Clinical Education, Associate Dean of Clinical Education, and Dean.Serve as a subject matter expert on affiliation agreement processes for internal and external stakeholders.Provide support and data to the Dean and the Dean’s team to ensure institutional accountability and readiness for accreditation and clinical placement requirements.Assist in process improvement initiatives related to health compliance tracking, documentation workflows, and onboarding optimization.Read and understand the ATSU-SOMA CE Manual, ATSU Student Handbook, and ATSU-SOMA Course Catalog.Complete all ATSU University requirements, including annual Required Employee Training (RET), annual employee evaluation process, and HR orientation/training.Other duties as assigned by ATSU-SOMA Deans and the Director of Clinical Education. Attend monthly CED, CED-REC, and Faculty-Staff meetings.Attend Professional Development for Faculty and Staff weekly meetings. 


Requirements Associate's degree or equivalent. Two years’ experience in medical education.Must have experience with Microsoft Office Suite, learning management systems, and data management platforms (ex: eValue, CANVAS, or similar software systems).Experience in a role requiring strong ability to multitask with excellent communication skills.Self-motivation and the ability to adapt to new systems.Exemplary organization and time management skills.High level of integrity, objectivity, confidentiality, and accuracy.Excellent written and verbal skills.

The hourly range for this position is 24.33 - 29.17 based on location and experience.
