Our 114,000 colleagues serve people in more than 160 countries. **The Opportunity** The Site Support Associate is responsible for a wide range of administrative and front-office support activities, ensuring the smooth and efficient operation of our site. This role will execute tasks such as coordination for visitors including catering, managing front-office communication, maintaining records, and providing general administrative support as applicable. The role also serves as the point of contact for internal and external visitors, facilitating events, and collaboration. **What You'll Do** + Manage and organize front-office operations and procedures + Assist in the preparation of meeting rooms and distribution of meeting agendas and materials as applicable + Manage visitor access, employee badges as applicable, and hospitality including catering + Coordinate visitor agendas and serve as a point of contact for leadership and customers as applicable, addressing their inquiries, and providing excellent customer service + Prepare reports, presentations, and relevant data as needed + Identify areas for improvement in administrative processes and contribute to our strategic objectives + Resolve issues quickly and efficiently + Coordinate the front-office Purchase Order process as needed + Work in collaboration with Facilities to order and manage office supplies and inventory, maintaining office equipment, and ensuring the overall smooth functioning of the office environment. + Handle incoming and outgoing front-office communications, including emails, phone calls, and physical mail + Maintain reception area and work closely with Site Coordinator/Facilities + Maintain and update office records and databases as applicable + Provide administrative support to various departments and teams as needed + Develop and implement office administrative systems and processes + Coordinate and schedule meetings, appointments, travel arrangements and expense reports for managers or supervisors as required + Maintains positive and cooperative communications and collaboration with all levels of employees, internal and external stakeholders, contractors and vendors + Ensure compliance with company policies and legal guidelines + Support all company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements + Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, company policies, operating procedures, processes and task assignments. + Perform all other duties as assigned **Education and Experience** **Required:** + Associate’s Degree preferred or an equivalent combination of education and work experience (High school diploma or equivalent required) + At least 5 years of experience in an administrative role + Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) + Excellent written and verbal communication skills with the ability to communicate at multiple levels in the organization + Professional demeanor with the ability to maintain information with strict confidentiality + Strong organizational and multitasking abilities + Possess excellent judgment and initiative to make independent decisions + Ability to work independently and as part of a team in a fast-paced, changing environment + Attention to detail and problem-solving skills + Ability to work outside of standard business hours if needed for business support + Familiarity with office equipment (e.g., printers, video conferencing) + Excellent time-management and organizational skills + Effective communication and interpersonal skills + Capacity to handle multiple tasks and projects simultaneously **Preferred:** + Previous Secruity experience **WHAT WE OFFER** At Abbott, you can have a good job that can grow into a great career.
