Site Coordinator
Position Profile

The Site Coordinator is responsible for the daily operations of a solo-person site. This position involves performing a range of contracted office services including, but not limited to: Copy Services, Courier Services, Managed Print Services, Hospitality, Imaging, and Mail Services.

Key Responsibilities

Oversee day-to-day operations of a mailroom, copy center, or scanning facility.

Operate office equipment such as PCs, copiers, multifunction devices, imaging, and mail equipment.

May also handle:

Courier Services

Reception Services

Switchboard Operations

Shipping & Receiving

Mail Delivery and Processing

Serve as the primary point of contact for the customer on a daily basis.

Ensure effective implementation and management of RICOH Service Excellence Programs.

Operate equipment/software efficiently to meet Service Level Agreements (SLAs).

Contribute to cost control by effectively utilizing company materials and supplies.

Handle routine tasks such as creating/completing work orders, monitoring contractors, conducting inspections, and reporting facility issues.

Interact with contracted vendors, facility management, and building occupants as needed.

Manage office supply inventory and reordering.

Coordinate conference rooms and A/V equipment resources if required.

Maintain positive internal working relationships through professional communication.

Collect and provide data to leadership and customer; may assist in compiling monthly reports.

Ensure all financial responsibilities related to the site are met.

Perform other duties as assigned.

Qualifications

High school diploma or GED required.

1+ year of experience in a related field (B2B and/or technical environment).

1+ year of customer-facing work experience.

Demonstrated understanding of technology and basic equipment operations.

Ability to present to small groups

Moderate problem-solving ability

Basic customer service and interpersonal skills

Basic technical and troubleshooting aptitude

Basic written and verbal communication skills

Working Conditions & Physical Demands

Standard office environment with adequate lighting, ventilation, and temperature control.

Work assignments vary and require comprehension and communication of complex material.

Some physical effort is involved; may include walking, standing, bending, reaching, and lifting objects up to 50 lbs.

Moderate manual dexterity required for tasks involving calculators, keyboards, hand tools, and basic coordination.
