Key Responsibilities: Promoting HSE and quality standards throughout the project. Managing additional and extra work (MuZ). Cost analysis and updating the project structure in collaboration with the Construction Manager (CM). Ongoing updates of the project cost estimation from the assembly phase to the final cost report, including registration of all cost changes (Change Orders, budget shifts, internal changes). Monitoring hours worked for site supervision tasks. Creating and coordinating document numbers with external number ranges. Establishing and managing document distribution rules. Uploading documents to the project system and checking/correcting/completing/distributing them for completeness and accuracy. Compiling and distributing progress lists. Conducting Excel analyses, including working with pivot tables and macros. Document management and administration of all project-related documents. Managing Master/Engineering documents. Organizing and managing the site office. General organizational tasks within the Construction team. Internal and external correspondence in both German and English. Organizing accommodations/hotel bookings for staff. Recording working hours of external employees. Ordering materials and tools. Planning and organizing meetings. General business correspondence in German and English. Tracking deadlines, archiving, and updating department-specific employee lists, vacation schedules, telephone lists, etc. Taking minutes of internal meetings. Supporting and resolving IT tickets.
Processes & Compliance Experience with logistics and administrative management of a construction site office. Experience in coordinating accommodations and travel arrangements. Experience in recording and managing working hours and staff scheduling. Experience in supporting meetings, including minute-taking and follow-up. Familiarity with procurement processes for materials and tools Strong organizational and time management skills. Attention to detail and accuracy in documentation and reporting. Excellent communication skills for internal and external correspondence. Ability to prioritize multiple tasks effectively in a dynamic work environment. Problem-solving skills and the ability to work independently and in a team.
