The Finance Operations organization @Manila is looking for an Site Admin/Assistant who wants to work in a fast-paced, exciting, and growing organization. We are seeking an exceptionally talented, dependable, customer-obsessed, and self-motivated Administrative Assistant to work under the direct supervision of the Manila Site Director. The Site Admin is responsible for arranging meetings and developing materials for presentations, travel planning and creation of detailed itineraries, general office support functions, such as supply ordering, file maintenance, and direct support to the senior leaders with regard to expense reports, appointments, etc. The ideal candidate is able to work successfully in a team environment, build effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services, facilities, procedures and related information in order to maintain a comprehensive awareness of the organization
Key job responsibilities
Back up of calendar and support and scheduling needs for leaders
• Support logistics and planning for leadership meetings and ownership in managing events.
• Manage space planning for office sites.
• Coordinate travel and create detailed itineraries.
• Complete and file expense reports.
• Tracking and helping drive completion of deliverables and following up on open action items.
• Special projects as assigned
Basic Qualifications
- Minimum of three years of experience providing support at a site level in a fast-paced environment
- Advanced knowledge of Microsoft Outlook is essential, as well as strong working knowledge of Microsoft Word, Excel, PowerPoint, SharePoint and Visio
- Sound judgment and flexibility in balancing competing priorities, tight deadlines, and keeping people and projects moving on schedule
- High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
- Exceptional written, verbal, and interpersonal communication skills
- Ability to work independently with minimal direction
- Ability to work cross-functionally and coordinate effectively with other business units
Preferred Qualifications
- Ability to complete a high volume of tasks and projects, with little to no guidance, in a highly ambiguous and fast paced environment
- React with appropriate levels of urgency to situations and events that require quick response or turnaround. Ability to switch gears at a moment's notice
