Key Responsibilities
+ Manage Signing Service Assignments: Coordinate assignments by effectively managing vendor relationships to meet customer deadlines and expectations.
+ Vendor Recruitment & Vetting: Oversee the recruitment, screening, and onboarding of signing agents, including verifying licensing, conducting background checks, evaluating certifications, and negotiating vendor fees.
+ Daily Monitoring & Progress Tracking: Utilize tracking systems to monitor open assignments, ensuring deadlines and departmental standards are consistently met.
+ Communication & Status Updates: Act as a primary contact for vendors and customers, delivering clear and timely updates while addressing inquiries with a detail-oriented approach.
+ Maintain Vendor Records: Ensure the accuracy and completeness of documentation for vendors, such as licensing, errors and omissions insurance, background checks, and certifications.
+ Quality Assurance: Process correction requests and oversee rework to adhere to quality control standards and align with customer requirements.
+ Continuous Service Optimization: Negotiate with vendors to enhance service quality while optimizing costs, ensuring compliance with industry guidelines.
+ Administrative Support: Manage administrative tasks, including email correspondence and maintaining accurate order tracking systems.
+ Queue Monitoring: Assist with managing service queues to maintain seamless communication and ensure operational efficiency.
Requirements • Proven experience in vendor management and customer service within a detail-oriented environment.
• Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
• Strong skills in email correspondence and documentation review.
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
• Familiarity with administrative procedures and maintaining detailed records.
• Excellent communication and interpersonal skills to build strong relationships with vendors and customers.
• Knowledge of industry standards related to signing services is preferred.
