Service, Warranty & Repair Coordinator
Description We are looking for a PART TIME highly organized and detail-oriented Service, Warranty & Repair Coordinator to join our team in Spokane. In this role, you will serve as the primary administrative liaison between service technicians, clients, and manufacturers, ensuring efficient management of service requests, repair documentation, and warranty claims. This is a long-term contract position offering the opportunity to work in a dynamic environment within the commercial furniture industry. Responsibilities: • Review and process service and repair reports submitted by installers, account managers, or customers. • Record service requests and repairs in tracking systems to ensure accurate documentation. • Verify that all necessary supporting materials, such as photos and paperwork, are included with each service ticket. • Monitor the progress of open service jobs and follow up on unresolved issues to ensure timely completion. • Submit warranty claims to manufacturers, suppliers, or vendors in compliance with product warranty terms. • Maintain detailed records of warranty approvals, denials, and reimbursements, keeping all documentation organized. • Communicate claim statuses and expected timelines to internal teams and clients to promote transparency. • Collaborate with vendors and manufacturers to coordinate parts orders, claim submissions, and resolutions. • Support the Service and Operations teams with tasks such as scheduling, data entry, and report preparation. • Maintain both digital and physical filing systems for service and warranty documentation to ensure easy access and organization. Requirements • Proven experience in administrative roles, preferably within service coordination or warranty management. • Strong organizational skills with an ability to handle multiple tasks and prioritize effectively. • Proficiency in managing digital tracking systems and filing documentation accurately. • Excellent communication skills to liaise professionally with clients, vendors, and internal teams. • Familiarity with warranty terms and processes, particularly in the commercial furniture industry, is a plus. • Ability to analyze and resolve issues related to service requests and warranty claims. • Proficient in scheduling, calendar management, and creating detailed reports. • Experience in customer service or vendor relations is highly desirable.
