Job Title: Specialist for Sales operation and assistant

< Summary of Position >

Provide advanced business operation and administrative support to both BU Head and sales organization.  Job requires proactive planning and executing of all of BU administrative needs. Environment can be intensely busy and high- pressured, so high interpersonal and communication skills, ability to prioritize and swiftly handle work is essential.

Good communication, teamwork, and high level of engagement is mandatory in order to become trusted member of the function as well as the broader organization.

 

< Key Tasks >

Prepare business executive reports, presentations, documents, minutes at meetingCooperate with other executive Board members, managers reporting to BU HeadCoordinate and schedule high-level business meetings for BU Head and other executive members.Provide planning and execution of cross functional & global meetings, create agendas, consolidate presentations, action items, send follow-up communications and deliverablesUnderstand scope and content of ongoing initiatives that the executives are involved in, and provide proactive serviceApply critical thinking skills to screening of routine and highly confidential incoming E-mails, telephone calls and messages, and organize material by priority and subject.Schedule/maintain BU Head’s calendar and track important issues in timely and efficient manner.Coordinate BU head travel arrangements and accommodations (international)Coordinate oversea visitor arrangements and accommodationsManage all logistical details in collaboration with internal colleagues and external vendors.Manage and lead BU events (Town hall, Country kick off mtg, ESS engagement activity etc.)Process expense reports, invoices, purchase requisition

ビジネスエグゼクティブレポート、プレゼンテーション、文書、会議の議事録を準備する他のエグゼクティブボードメンバーやBUヘッドに報告するマネージャーと協力するBUヘッドおよび他のエグゼクティブメンバーのための高レベルのビジネス会議を調整し、スケジュールするクロスファンクショナルおよびグローバルな会議の計画と実行を行い、アジェンダを作成し、プレゼンテーションやアクションアイテムを統合し、フォローアップのコミュニケーションと成果物を送信するエグゼクティブが関与している進行中のイニシアチブの範囲と内容を理解し、積極的なサービスを提供するルーチンおよび高度に機密性のある受信メール、電話、メッセージのスクリーニングに批判的思考スキルを適用し、優先順位と主題ごとに資料を整理するBUヘッドのカレンダーをスケジュール/維持し、重要な問題をタイムリーかつ効率的に追跡するBUヘッドの旅行手配および宿泊を調整する(国際的)海外の訪問者の手配および宿泊を調整する内部の同僚および外部のベンダーと協力して、すべての物流詳細を管理するBUイベント(タウンホール、国のキックオフ会議、ESSエンゲージメント活動など)を管理およびリードする経費報告書、請求書、購入依頼を処理する
 

必要なスキル/能力:
