Senior Portfolio Director, Property & Asset Management

The Senior Portfolio Director will serve as the primary contact for the client property management relationship, responsible for ensuring that communications with the client are consistent and meaningful. The Senior Portfolio Director plays a critical role in delivering exceptional property management services to the client, driving performance and growth within their assigned portfolio, and contributing to the overall success of JLL.  The Senior Portfolio Director will be expected to oversee a portfolio of buildings, in excess of 5 million square feet, and the management teams that service the portfolio. The Senior Portfolio Director is responsible for working directly with the JLL Global Account Director and client to ensure a thorough understanding of the investment objective and the development of acceptable portfolio strategic plans and operating and capital budgets.  Once developed, the Senior Portfolio Director must oversee the implementation of approved initiatives and programs by managing and coordinating the efforts of the property teams.  The Senior Portfolio Director provides excellent communication (both written and verbal) to clients, employees and tenants to ensure an ongoing, successful relationship. 

The Senior Portfolio Director is responsible for the management, supervision and professional development of all managers within assigned portfolios. Ensure 100% compliance with Jones Lang LaSalle employee review process. Additionally, the Senior Portfolio Director is responsible for representing Jones Lang LaSalle Americas, Inc. in the local and regional business and real estate community in order to promote Jones Lang LaSalle’s reputation and capabilities to prospective tenants and clients.

Management

Assume a leadership role and assume responsibility for the coordination and successful performance of property management teams.Identify and initiate process improvements and guide consistency for all property systems.Ensure that personnel under your management are fulfilling their requirements within their specific job descriptions and provide pro-active support as required.Develop, gain consensus for, implement, and report on the management plan for assigned assets.Interface with client to meet or exceed their expectations regarding the operational, financial, and marketing efforts for their portfolio.Jointly communicate effectively with the Global Account Director on all significant operating, financial, leasing and administrative issues.Ensure that JLL standards are implemented, met and maintained consistently.  This includes all policies and procedures, systems and standards and initiative compliance of the property teams.Meet the assigned criteria within the Compliance Excellence Program and Engineering Audit. Participate in the development and implementation of strategically oriented plans to meet the management requirements.Provide support and/or negotiate Management Agreements when necessary. Act as escalation point for service contractors and vendors. Ensure that all legal agreements have been fully executed according to client and JLL standards, and that vendors are performing at a high standard.Inspect properties to assure the quality of operations.Interface with leasing brokers to ensure the lease process meets client objectives.Understanding of the retail landscape & how to measure retail health.Ensure that teams are fully engaged and responsive to retail leasing and operations issues.Make staffing and compensation recommendations to client, Global Account Director or Managing Director.  Ensure that positions are always filled, participate in interviews and endorse the appropriate candidates.  Develop training program and career path for property employees.  Assure succession planning and develop your direct reports to promote employees from within for future opportunities.  Support, assist and direct the growth and development of others within the department. Supervise employees reporting to the assigned buildings in accordance with the policies enumerated within the JLL Personnel Handbook and applicable laws. Establish written goals and objectives for employees directly reporting to Senior Portfolio Director as well as guidance for their employees’ goals. Conduct periodic formal and informal performance evaluations, reward and discipline employees, address complaints and resolve problems in coordination with Managing Director and Human Resources as appropriate. Work with the Engineering Directors to coordinate technical support and developing training programs designed to offer advancement to promising engineering candidates. Oversee the commissioning and startup of key assignments. Ensure the implementation of JLL minimum standards on newly acquired and existing properties.  Support and assist on department and company initiatives.  Be an active proponent of property management within the company and industry.Cross-sell all Jones Lang LaSalle services.  Participate in and drive new business efforts both internally and externally.Drive team performance to meet or exceed all KPI minimum requirements as set by the client.Any and all other duties and tasks assigned.

Financial

P&L responsibility for their portfolio including fee collection and salary allocations.Ensure that financial and operational controls are in place to provide the most effective and efficient management of the properties in accordance with the company’s standards and/or owner requirements.Oversee and contribute to the final budget documentation.  Manage spend to achieve budgeted revenue, operating and capital expenses.  Ensure timely and accurate reporting (monthly, quarterly, or as required).Oversee preparation and review of the annual jurisdictional forms and filings as required.  (i.e. income & expense, real estate tax payments, property tax fillings, etc). 

WHAT YOU BRING TO THE TABLE:

Education/ Training

Associate or Bachelor’s Degree Required. Finance, accounting, or advanced degree a plusReal Estate Broker’s License Required.  Industry accreditation and/or designation a plus.Minimum ten (10) years commercial real estate or property management experience.Minimum five (5) years people-management experience of at least ten (10) employees.

Skills / Knowledge

Significant experience in budgeting, financial and asset management. Familiarity with building systems, lease negotiations, documentation and administration. Experience prioritizing day-to-day operational issues coupled with a leadership role in departmental initiatives.Communication Skills: Ability to read, analyze, and interpret legal documents (lease documents, claims of lien, etc.), professional journals, technical procedures, or government regulations.  Ability to produce well-written reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers and the general public.  Excellent interpersonal skills for interaction with owners, tenants, employees, internal and external clients.Mathematical/Financial Skills: Experience in budget preparation and financial reporting. Ability to calculate figures and amounts such as discounts, interest, commissions, prorations, percentages, rent, parking fees, late fees and volume.  Ability to apply concepts such as percentages, ratios and proportions to practical situations. Ability to analyze, interpret and explain financial statements and calculate variances. Experience with accruals as well as CAM estimates and reconciliations. Possess proven financial and accounting acumen.Reasoning: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to respond to and interpret a variety of instructions furnished in written, oral, diagram or schedule format.  Strategic thinker with strong implementation orientation.Technology: Proficient knowledge of Microsoft Office Suite.  Capable of learning new programs and technology. Must have working knowledge in various budget applications.Project Management: Capable of managing construction projects such as tenant improvements, restroom renovations and major repair and maintenance projects, etc. 

Estimated total compensation for this position:

200,000.00 – 300,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
