Job Description
Minimum requirements:
Namibian Citizenship;Grade 12;A tertiary qualification in Accounting and Finance will be an advantage;3 years’ experience in the retirement fund administration will be an advantage;Knowledge of MS Office applications and spreadsheet proficiency is essential;Analytical skills is essential;Strong written and verbal communication skills;Proven ability to meet and exceed tough business targets on a consistent basis;Ability to work under pressure whilst remaining professional;Ability to work independently and within a team; andA passion for customer service and relationship building.The following would be to your advantage:
Retirement Funds 1 & 2 (IISA) or equivalent;Knowledge of retirement fund administration processes and procedures;Knowledge of employee benefit structures and rules and;Knowledge of legislation and regulations e.g. Pension Fund Act & Income Tax Act.Duties and responsibilities include:
Preparing monthly member and fund reconciliations;Processing investment applicationsAccurate and timeous payments of benefits;Update and maintain accurate fund data, records and systems;Document preparation and administrative liaison functions, such as preparing member benefit statements, administration reports, annual reviews, and transfer certificates;Ensure service level agreements and key performance indicators are adhered to;Provide administrative support to Participating Employers and Members;Implementing annual reviews on participating employers under an umbrella scheme;Loading of the interest rates on the administration system;Assist in the authorization of claims for exited members on the managed funds and;Assist in the preparation of audit and valuation data for the managed funds.Performs routine administrative duties such as drafting correspondences, scheduling appointments, organising and maintaining data, as well as assisting internal and external stakeholdersResponsibilitiesAdministrationProduce, update, and provide best practice support on a wide range of Microsoft documents, databases, and other departmental systems.
Business Meetings/Events ArrangementSchedule appointments, make arrangements for meetings and conferences, and organize travel plans, following instructions to ensure more senior colleagues or a senior executive make the best use of their time.
CorrespondencePrepare routine letters, email, minutes of meetings, and reports for approval by more senior colleagues or a senior executive.
Document PreparationPrepare moderately complex documents using a variety of applications for technology devices, such as standard office software. Also responsible for gathering and summarizing data for reports.
Work Scheduling and AllocationDesign own monthly schedule and, if necessary, assign work to others in order to speed up office workflow and ensure high-priority tasks get done.
Data Collection and AnalysisProduce accurate reports for others by collecting data from a variety of standard sources and inputting it into standard formats.
Insights and ReportingExtract and combine data to generate standard reports.
BudgetingMonitor and analyze data using budgeting systems and protocols.
Personal Capability BuildingDevelop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching.
Operational ComplianceDevelop working knowledge of the organization's policies and procedures and of regulatory codes and codes of conduct relevant to own work, adhering to mandatory procedures to ensure own work is undertaken to the required standards.
ProcurementSupport others by carrying out simple procurement tasks. Involves following established procedures.
