Department: Medical Staff Services Office
Location: Henry Ford Wyandotte Hospital, 2333 Biddle Ave, Wyandotte, MI 48192
Schedule: 40 hours per week
Shift: 8:00 AM – 4:30 PM
Under minimal supervision, provides a variety of activities to support the Department Manager and the daily operations of Medical Staff Services department. Coordinates activities supporting initial credentialing, reappointment applications and the privileging process of the Henry Ford Medical Staff. Support the Credentials Committee Chair and, coordinates Credentialing Committee Meetings, and follow up with the Board of Governors and HFHS Board of Trustees Quality Committee. Assists in compliance with accrediting and regulatory agencies (i.e. CMS, TJC, NCQA, HFAP).
Principle Duties and Responsibilities:
· Coordinates the credentialing and privileging approval process. Processes and assigns files to team members for processing ensuring the timely and accurate review of applications for initial appointment, reappointment, and requests for privileges.
· Works closely with medical staff leadership in investigating and troubleshooting issues related to request for waivers, temporary privileges and providers with a complex history ensuring appropriate documents have been obtained.
· Coordinates the activities necessary to support the Credentials Committee ensuring timely processing of applications, accuracy of information and expeditious follow[1]through on committee action and changes in policies. Support the Credentials Committee Chair in scheduling meetings, creating necessary letters, reports and minutes.
· Acts as a liaison to Department Chairs and Division Heads in the management of the privileging process and the updating of delineation of privilege forms. Coordinates these activities between Henry Ford and Henry Ford Kingswood Hospitals promoting standardization as directed by Hospital Bylaws.
· Coordinates and establishes processes for monitoring provider expirables (State Licensure, DEA, Board Certification, etc.). Communicates with Provider to obtain verification of renewed expirable and alerts medical staff leadership of non[1]compliance.
· Acts as the facility database administrator of Morissey MSOW, PCCB and ARM. Maintains overall quality assurance of the HFH credentialing database and ensures reliability of data accuracy, integrity, and confidentiality of all information. Optimizes use of MSOW functionalities to support the credentialing and privileging processes.
· Acts as the educator/coach to medical staff leaders on the Morissey modules for privilege (PCCB) and the paperless approval process (ARM). Establishes a credentialing/privileging on-boarding process for new medical staff leaders.
· As a report writer, analyzes data from MSOW and produces customized extracts, reports, and spreadsheets for a wide variety of hospital departments according to customer or management needs.
· Assists the Manager in keeping current with all accreditation standards and regulatory requirements and education of the medical staff. Assist Manager in preparation for surveys for the medical staff function.
· Provides supportive services to the Manager in development of short and long-range plans for the department, assuring overall continuity of the corporate strategic plan. Assist Manager in problem solving.
Education/Experience Required:
· High school diploma or GED. Associate’s or Bachelor’s degree preferred, preferably in healthcare administration.
· Five to seven (5-7) years of experience in a hospital medical staff office.
· Five to seven (5-7) years of experience in privilege management.
· Five to seven (5-7) years of experience with CACTUS or Morissey databases. Ability to create extracts and reports required. Proficient in Morissey PCCB Module, preferred.
· Two to three (2-3) years of working knowledge of OPPE/FPPE.
· Proficient in WORD and Excel, PowerPoint and Outlook.
· High level of energy to work in a fast paced environment often including time deadlines, frequent interruptions, heavy workload, multiple demands and multi-tasking. Ability to be flexible.
· Strong organizational skills and ability to prioritize and re-prioritize as necessary.
· Strong interpersonal skills to effectively communicate both written and orally with department teams, practitioners, administration and senior medical staff leadership
· Excellent problem-solving skills.
