Job DetailsThe Operations Executive is responsible for order management, planning, and executing shipments, as well as handling customs procedures for both exports and imports. This role ensures that all tasks are completed correctly, timely, rapidly, and cost-efficiently. The Operations Executive will ensure that shipments are sent securely and efficiently while meeting the needs and expectations of customers and World Courier offices. Compliance with all relevant regulations and guidelines, particularly customs regulations for industrial service shipments, is essential. The role requires maintaining reliable transportation services and effective communication links among customers, suppliers, government authorities, and Operations/Customer Service.
Responsibilities:
Edit and maintain jobs (Exports/Imports) in TMS System
Perform a "Routing Check" regarding the selection and combination of different transport models (airplane, car, train, Aerolink)
Order drivers for the pickup and delivery of shipments at customer locations and freight companies
Check collected shipments in the office and prepare them for transport
Book and pre-advise shipments
Monitor shipments during transport and respond flexibly to any deviations from the plan
Continuously check notes in WorldStar/TMS and handle pre-advised shipments
Check planned departure or arrival times of flights in WorldStar & TMS ("Post Flight Check")
Verify internal debits and credits (Clearinghouse)
Recognize and utilize important information (All Stations Emails, Holiday Lists, Ops-Memos, C/H Memos)
Work securely with all pertinent regulations (ADR/DGR/IATA) and relevant laws and ordinances
Use and maintain available technical tools (WorldStar, TMS, OpStar, BioStar, OrgaNice, Flight Monitor)
Manage the store-room (packaging, supplies, cooling media, etc.)
Communicate with national and international World Courier stations/Aerolink/agents
Build and maintain relationships with contractors/transporters (airlines, handling agents, rail, customs, government agencies, veterinarians, suppliers, etc.)
Perform preliminary actions, including:
Preconditioning and pre-placement of packaging materials and cooling media
Marking and labeling shipments as per regulations
Preparing and/or procuring all necessary documentation (HWB, MAWB, import/export permits, export customs paperwork, live animal certificates, dangerous goods declarations, etc)
Check transport documents as per GGVS/ADR/IATA-DGR. Carry out all customs formalities (Export/Import) through:
Inspection and/or procurement of necessary paperwork for import/export
Determining all customs and taxes, entering these in WorldStar & TMS
Complete customs declarations (electronic or via the internet) at the responsible customs office (Import/Export)
Load and unload packages scheduled for pickups/deliveries
Check correctness and completeness of consignments during pickups/deliveries
Consult with dispatching on the best route available for timely delivery/pickup
Ensure the House Way Bill is properly completed by the shipper and/or consignee
Use a cell phone to report on the progress or problems of deliveries and pickups, ensuring constant availability
Verify the good order of packages and/or envelopes
Provide a communication link between customers and office staff
Report customer feedback immediately to operations
Ensure that all assigned tasks are fulfilled correctly and timely
Maintain excellent cooperation with team members
Be courteous with all customers and use proper language at all times
Be dependable and avoid unexcused absences
Present a professional appearance by wearing clean clothes and maintaining a well-kept appearance
Always follow safety protocols at work
Perform additional tasks assigned by superiors that are related to the job or arise out of necessity

Requirements:
Completion of education equivalent to 10+2 or higher in the Indian schooling/higher education system
Experience in logistics, cold chain, courier, or export/import
An IATA DGR certificate is preferred
Minimum Skills Required:
Fluency in spoken and written English, Hindi and Kannada - A MUST
Proficiency in MS Office tools
Knowledge of cold chain logistics and clinical trial logistics is an added advantage
Willingness to learn related software required for this role
